Assistant Administrator

Job description

You will be work in friendly environment, we are expecting you to do the following duties as listed in below:
- _You will work under your manager (the director), Initially you will follow up and implement his instructions which will guide you through all the tasks related to you and under your responsibility ,for the initial stage you are not allowed to take any decision unless approval from the director ,once you became fulfilment with your tasks and duties, your routine daily tasks will be left completely for you to handle and act as usual without previous director permission._
- Implements and adheres to company's policies and procedures.
- To follow up day to day e mails and correspondence after coordination with the director.
- Organizing and scheduling appointments and notify the director.
- Answering phone calls and booking appointments.
- Ensures the day-to-day operations are smooth and efficient and notify the director for any improper status required his direct attention.
- You might requested to work remotely or in the office as the instruction of the director.
- Manage diary.
- Setting reminders/ recalls.
- Ordering office supplies (Paper,Toners,Printer's paper roll, call for maintenanceetc) whenever required, working with vendors to maintain office equipment including Stock Control & Orders.
- Writing and sending business correspondence and enforcing office procedures.
- Payroll administration following instructions of the company's accountant.
- Greeting, welcoming and directing visitors.
- Handling daily duties such as creating reports and presentations and maintaining filing systems.
- For any new task order ,you need to open separate folder and input all the information related to that order including but not limited
- Task order ,job order letter or e mail.
- official correspondence and notes for all calls.
- Expenses.
- Invoices.
- Any change orders agreed during the task implementation.
- Full list of client’s staff who were related to the task order ,with their contact information(Tel Nrs, e mail addresses ),their post and other business info.
- Update the folder with new info periodically or as required.
- Keep a spare copy of all your folders and files in a safe external drive.
- Setting up meetings, taking accurate minutes and organizing and scheduling appointments including taking minutes during meetings.
- Maintaining databases and / or creating databases, trackers, policies, and procedures.
- Making travel arrangements for staff, including booking flights and making hotel reservations.
- Compiling, reconciling, and submitting office expenses reports.
- compiling and updating paper and digital records.
- You will be provided with new computer (desktop or lap top as it is suitable for carrying your own tasks )equipped with the necessary softwares and safely protected against viruses ,you need to make sure of your computer is always protected and the antivirus license with other software are all UpToDate.
- keep all you folders, files, and computer safe and passworded, passwords shall be all the time controlled by the director manager.
- Coordinate with the advertisement and media suppliers for brochures and leaflets, make sure the sales and marketing team always have valid updated one ,order new with updates whenever necessary.
- Coordinate with the sales and marketing team to reply on the client 's calls ,inquiries if required.
- well maintaining office with its folders, files, equipment ,whenever directed or as necessary.

**Salary**: £18,900.00-£20,000.00 per year

- GCSE or equivalent (preferred)

**Experience**:

- Customer service: 1 year (preferred)
- Administrative experience: 1 year (preferred)

**Language**:

- English (preferred)

Licence/Certification:

- Driving Licence (preferred)

Work Location: Hybrid remote in Wigan, WN1 1HH
