We are seeking an experienced, organised, and dynamic individual at Penny Appeal to serve as Events and Challenges Administrator. This role will be responsible for providing direct support to the Fundraising Consultant on all administrative activities related to both Events & Challenges.

**Responsibilities**:

- Production of event documentation, including risk assessments, itineraries and schedules will be a key element of the role, as will the logístical arrangements with suppliers, catering, transport, accommodation, etc.
- Willingness and ability to travel and work unsociable hours, including evenings and weekends as the role demands.
- Maintain administrative and office systems, including data management and filing
- Carry out background research and present findings.
- Co-ordinate the promotion of events e.g. press releases and website information. **Document events, both written and photographically.**:

- Keep up to date with new developments, legal requirements, codes of conduct and best practice within both events and the wider fundraising sector.
- Liaise with other staff members to ensure the smooth running of the events.
- Maintain a events and projects calendar
- Manage stock control of event promotional items, ensure availability of items required at events, distribute and collect items for fundraisers.
- Serve as liaison with vendors on event-related matters.
- Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
- Keep track of event finances including check requests, invoicing, and reporting.
- Prepare and modify event contracts as requested
- Take responsibility for the customer facing inbox, responding within a timely and appropriate manner
- To attend offsite events, site visits, and meetings when required.
- To keep up to date with all internal communications regarding processes, campaigns and appeals. **Attend any training for development and learning needs.**:

- Answer and respond to enquiries in an appropriate and efficient manner, directing calls to other departments if necessary.
- Work closely with other departments and attend regular meetings to discuss collaborations and future fundraising and events.
- Liaising with the tour operators, race organisers and other companies that organise challenge events. **Work closely with fundraising teams in other regions to ensure events recruitment and fundraising targets are fulfilled.**:

- To securely log all donations and pledges accurately and ensure that clear records of such donations and pledges are maintained.
- Use #TeamOrange social media and personal networks, to recruit volunteers and participants from the community to take part in challenge events.
- Outreach into the community to book stalls & exhibition opportunities to market and recruit for challenge events.
- To represent the charity at any event in a professional and presentable manner, and do the utmost to promote the charity.
- To work with the HoC to brief in marketing requirements for the department, working closely with marketing executives and the design team to produce artwork, blogs, social media posts and other required marketing deliverables.
- Any other duties commensurate with the accountabilities of the post.

**Skills & Knowledge**:

- Strong project management skills (Advantageous)
- Administrative experience (Advantageous)
- Experience of managing multiple tasks and prioritising workload (Advantageous)
- Experience of working with minimum direction (Advantageous)

**Salary**: £22,090.00-£24,139.00 per year
