**Job Title**: Office Administrator - Residential Construction
**Location**: Office Location - Wooburn, Buckinghamshire. Current project sites in London and Home Counties
**Salary**: £17.50 per hour
**Hours of work**: Monday to Friday 09:30-13:30 (4 hours a day - some flexibility over start and finish times)
**Summary**
**Responsibilities**
**Administrative support**
- Support with the administration of marketing activities, including mailings, brochure production, signage and procuring uniform.
- Manage and process all purchase invoices receipts and expenses, using accounting system (Xero).
- Keep up to date documents relating to all aspects of the business both physically and electronically to ensure compliance. Ensure all documentation is recorded accurately and made accessible to those that need it.
- Order all office / sundry supplies as and when needed.
- Monitor and track the sales pipeline of enquiries, ensuring all enquiries are dealt with effectively and followed up, providing information needed throughout the process.
- Provide PA support to company directors.
**Project / Client Support**
- Serve as the primary office point of contact for client queries and liaising with site teams and project managers to address and resolve any concerns promptly and professionally,
- Keep clients proactively informed as to project progress.
- Co-ordinate meetings between clients and project managers.
- Create all budget estimates, scope of works, contractual documentation, valuations and variations liaising with the project team, third party partners (QS, architects, structural engineers etc) and clients.
- Raise sales invoices and chase payments.
- Maintain accurate client records and database.
- Liaise with suppliers, manufacturers and equipment suppliers to get quotations and negotiate best prices. Keep up to date database of suppliers / trades.
**Experience, Personal Attributes and Qualifications**
- Proven experience in an administrative role, preferably within the construction industry.
- Excellent communication and interpersonal skills, with the ability to interact effectively with clients and colleagues at all levels.
- Strong organizational skills and the ability to prioritise tasks to meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with accounting software (Xero) advantageous.
- Attention to detail and accuracy in data entry and record-keeping.
- Ability to work independently with mínimal supervision and as part of a team**.**
