We are seeking an experienced part time PA / Office Coordinator who has a proven track record in supporting Executives at a senior level. You will have excellent organisational skills, first class communication skills and the ability to prioritise a workload, both on a proactive and reactive basis.

You will have responsibilities around office coordination and in ensuring that the office runs efficiently and to a high standard, along with procurement, IT-related and supportive tasks.

**Roles and Responsibilities**

The following is intended to describe the general nature and level of work. Other duties may be required, which align to the remit of the role.
- Planning and arranging internal and external meetings, video conferences and calls.
- Manage the enquiries inbox responding within an agreed timeframe.
- Acting as first point of contact and dealing with clients.
- Monitor and order office consumables.
- Research, establish and maintain relationships with overhead suppliers (florists, caterers, insurance, etc.)
- Assisting with correspondence.
- Schedule trade supplier presentations
- Research, procure and maintain business software.
- Devising and maintaining office systems, including data management and filing.
- Organize and maintain a detailed list of contacts, cross-referencing excel, and in house design software (Houzz)
- Lives and breathes organisation and communication.
- Thrives on role autonomy.
- Self-directed with the ability to manage multiple tasks and projects.
- Confident in communicating with internal and external parties
- Not only understands the importance of organisation, systems and processes, but loves to use them to keep their projects joyful and efficient.
- Has an upbeat personality and a positive attitude.

**Requirements**:

- Minimum of 2 years’ experience supporting executives
- Bachelor’s Degree or equivalent working experience
- Outstanding communication skills both written and verbal with the ability to communicate at all levels.
- Excellent customer service and organisational skills along with a ‘can do’ attitude and fantastic telephone manner.
- Ability to focus on multiple projects in various stages of development.
- Ability to work autonomously, be proactive and use own initiative.
- Experience communicating with external suppliers and trades.
- Experience in calendar and inbox management.
- General office management knowledge and experience including facilities, scheduling and organising meetings and coordinating office hospitality.
- Reliable home computer and Wi-Fi to utilise our web-based systems.
- Experience with Google Suite and task management software such as Asana.

**Working Hours**

This is a permanent part time position of 15 hours per week and is based on a hybrid working model (flexed between the office and home)

**Compensation & Benefits**
- Competitive salary of £24,000- £26,000 per annum, **pro rata**.
- Annual leave allowance of 25 days **pro rata.**:

- Workplace pension.
- Trips to UK Interior Design trade shows and events in London, Manchester, Scotland, etc.

**Job Types**: Part-time, Permanent
Part-time hours: 15 per week

**Salary**: £24,000.00-£26,000.00 per year
