**Job Title**:
**General Administrator**

This is the perfect job for those who enjoy helping customers. This job can be extremely varied, so you won't get bored. The primary role will be to manage our engineering jobs UK-wide, where you will be dealing mainly with businesses who need repairs on their critical printing equipment.

In order to do this job successfully, it's vital that you put in a fair amount of effort at the start to ensure you understand how best to support our customers - we pride ourselves on our customer service as it's what sets us apart from our competitors. It's definitely not the sort of job you can pick up in a day - but if you stick with the training you'll be reasonably confident within a week or two and in a month or two you'll be flying

**Key Responsibilities**:

- Processing orders & creating jobsheets for printer repairs
- Following up customer orders & keeping them updated throughout
- Liaising with engineers re attendance and managing expectations
- Keeping accurate stock records
- Arranging a revisit if further work is required
- Organising and shipping out spare parts
- Arranging any parts returns with engineers
- Support engineers where needed
- Undertaking stock checks

As your training progresses you will also:

- Provide printer repair estimates to customers using an excel template
- Finalise customer invoices to ensure accurate billing
- Arrange annual service visits for contract customers
- Check and process website orders and enquiries
- Quote customers for consumables orders
- Carry out marketing duties

You will need to be:

- Receptive to training and happy to learn (if you hate learning new things you'll hate this job)
- As we're a small team, you'll also gradually need to learn other job roles to assist with holiday cover including recommending new printers to customers, processing rental orders and selling printer support contracts (with additional future training and support of course)
- You'll need to be a self-starter and have the ability to prioritise your own workloads and work quickly but accurately
- Work well within a team and be happy to step in to support your work colleagues when they need additional hands on deck

You'll be working with a fun-loving conscientious team with an average age group of mid 40s, who are all confident, happy, keen and sociable - all easy-going, but who get excited when they make sales and very supportive of everyone else in the group. We all enjoy the odd natter and have fun at the annual Christmas Do, go off to the Cinema or Bowling once in a while.

However, equally, we are all jointly responsible for hitting our HP business targets and providing the best possible service to customers. We don't do hard sales - our primary goal is to truly try to help all of our wonderful customers, many of whom have been with us for many years, and the sales just come naturally

**KEY SKILLS are**:

- Diligence
- Good typing skills
- Able to proof-check your own work
- Proficient English skills with good grammar and spelling
- Some experience with Excel (you'll be using spreadsheets a lot)
- Openness to helping customers and the rest of the team
- Keen to learn new things and retain information (or write great notes)
- A positive and helpful telephone manner (training will be given)
- Sufficient strength / ability to (1) lift fairly lightweight boxes (containing spare parts) up/downstairs (2) help couriers from time to time lifting reasonably heavy (rental) printers in/out of the office
- you need to be experienced and confident in prioritising your own work to hit deadlines
- must have a "can-do" attitude, someone who naturally rolls up their sleeves and is proactive
- you need to be able to cope with working under pressure as there's lots to learn and lots of balls to juggle all at once and we're a small micro-business, so we can't afford to have anyone drop the ball as it affects everyone in the team
- ability to multi-task

OTHER NOTES: We have 3 days everyone must take as holiday over Christmas as we close down fully between Christmas and New Year (which gives everyone a nice break).
