ESSENTIAL DUTIES AND RESPONSIBILITIES
- Support the Fund Investment Team’s three senior members in EMEA, across a variety of administrative responsibilities, including but not limited to:

- Scheduling external meetings, calls, and internal multi-person meeting scheduling
- Working with Senior members to coordinate all travel arrangements
- Preparing expense reports and audit senior staff corporate card billing statements
- Supporting on industry conference meeting coordination
- Maintaining communications with senior staff whilst travelling
- Scanning contact business cards for senior professionals and maintaining contact logs
- Coordinate EMEA Annual Meetings assignments and cover administrative elements of Fund Investment Team attendance at these meetings, inclusive of travel
- Coordinate Investment Logistics Tracking in the EMEA coverage area, using our CRM, Deal Cloud
- Ownership of investment process meeting scheduling, inclusive of site visits and new fund meetings and update meetings
- Ensure guest hospitality coordination with our broader team assistants’ group, and Front of House, for Fund Investment guests
- Ensuring guest details are logged with security
- Ensuring conference rooms are prepared for meetings and catering is coordinated as required
- Providing guests with refreshments and snacks
- Create and update procedures manual for new and updated processes related to the role
- Other routine administrative requests
- This role operates on a 4:1 basis between in-office and virtual days

NECESSARY QUALIFICATIONS, EDUCATION AND/OR EXPERIENCE
- Good level of Education - A’levels including GCSE Mathematics, English Language and Science - Graduate level would be a plus
- Prior experience in an administrative role, supporting Executive professionals or working as an Office Coordinator
- Experience with Microsoft Word, Excel, & Outlook; experience with customer relationship management technology platforms desirable
- Excellent communication skills and the ability to interface effectively with peers, management and investment managers
- Desire to work as part of a team with a strong focus on process and responsiveness
- Ability to anticipate needs, use good judgment and work independently to find solutions
- Ability to exercise discretion and maintain confidentiality
- High level of attention to detail, organized and able to meet deadlines
- Ability to handle multiple tasks/assignments and have exceptional time management skills
- Interest in the Financial services sector
