Role Summary

The EMEA Fund Operations Team support the operational requirements and delivery of all Russell EMEA Fund complexes and Segregated Accounts, with particular focus on the oversight of transfer agency, custodial and administration services which are currently outsourced. This includes the oversight of the daily release of prices and acting as the escalation point for issues. The team also supports the operational needs for all clients through their whole life cycle with Russell Investments.

The Operations Associate role would be positioned within the Fund Operations Department, ensuring the highest level of care when dealing with clients both internally and externally. The Associate would build relationships, taking time to understand client and business needs. The Associate will respond to requests in an accurate, efficient and timely manner. They will also communicate clearly and concisely using multiple communication channels, tailoring their communication appropriately and summarising conclusions and next steps. The Associate will be very organised and have good attention to detail. They will be able to manage multiple deadlines and complexities, seeing all projects and deliverables through to completion. They will also focus on process enhancements and procedure changes, consistently considering where the team can add value. They will share ideas, listen to other opinions and collaborate within the team and the wider business.

Key duties of an Operations Associate are as follows:
- Supporting the onboarding process and ongoing administration for clients.- Building relationships with both internal teams and platform clients.- Communicating with Senior Management as required, tailoring communication style appropriately.- Liaising with and overseeing external service providers to ensure an efficient service is provided.- Responding to both internal and external queries received into the group inbox in an efficient manner.- Providing ongoing operational support to all EMEA and International Sales and Relationship Managers, demonstrating ways to enhance the service provided.- Participating in projects to implement new regulatory and product changes.- Assisting with new business initiatives such as new fund launches and mergers.- Supporting and implementing the operational requirements of manager changes within the funds.

The responsibilities of the individual in this position include:
Regulatory & business conduct- Displaying exemplary conduct and living by our organisation’s Code of Conduct.- Taking personal responsibility for embedding the highest standards of ethics, including regulatory and business conduct across the business.- Effectively and collaboratively identifying, escalating, mitigating and resolving risk, conduct and compliance.

Client onboarding- Overseeing the onboarding of Transfer Agency and platform accounts, ensuring oversight and management of the process.- Ensuring clear communication with relevant parties and all documentation is received for account set up.- Escalating and managing situations that may give rise to client dissatisfaction.- Oversight and monitoring of the account opening process to ensure all steps required for each account opening are completed.

Client administration and reporting deliverables- Responding to external queries via the group inbox providing both operational support, information and data.- Ensuring any client change of details are managed and updated appropriately.- Compiling, checking and distributing both ad-hoc and regular reporting ensuring both accuracy and timeliness.- Oversight and monitoring of the group inbox ensuring all reports are received and queries responded to in line with the SLA (Service Level Agreement).- Identifying common trends or issues and agree potential solutions.

Internal business support- Working with the business to collate monthly and quarterly metrics and distribute to the required parties in a timely manner.- Responding to internal queries via the group inbox providing both operational support, information and data as required.- Assisting in the monitoring of the Transfer Agency relationship, attending some conference calls, reviewing the SLA and scorecard as required.- Co-ordinating any queries in relation to reporting provided by the Transfer Agent to the business, with specific focus on net trading information.- Assisting with more complex product activity from a client onboarding and trading perspective, identifying any potential issues and working with the business to determine the most appropriate resolution.- Leading and participating in multiple projects with varying deadlines and complexity.- Implementing new procedures by finding solutions to process changes in order to increase efficiency.- Working with the team to enhance the overall delivery to clients.
