Administration Team Lead

An exciting opportunity has arisen for an organised, responsive and motivated individual to join our Specialist Children and Young People's Service as an Administration Team Lead. This position is permanent on a part-time basis, working 4 days per week (non-working day to be agreed).

This post covers Prudhoe (main base), Hexham, Newcastle, Aycliffe and Middlesbrough (travel expense allowance available).

The post holder is required to have experience of proven supervisory, leadership and secretarial experience as this is essential, along with the ability to collate data from Dashboards and RIO and create reports as required. The post holder will be required to monitor performance reports, attend and/or take minutes at meetings as required.

The post holder will co-ordinate leave, training, rotas etc. and provide support/cover to other departments when needed, as well as monitoring staff sickness, and carrying out supervisions, sickness meetings and annual appraisals for the administration team. The post holder will provide cover tasks of the admin team where necessary and at short notice.

The post holder will be required to co-ordinate administrative support services ensuring all systems and processes operate efficiently and accurately through a process of continuous improvement. You will play an integral part within the leadership team and support the Administration Manager and Clinical Team Manager in their roles.

To be personally accountable to the Administration Manager for the management and co-ordination of the administrative support services (and related budgets) in a delegated locality, ensuring all systems and processes operate efficiently, accurately and in a timely manner, through a process of continuous improvement.

To provide support to the Locality Administration Manager where required and act as their Deputy if required to do so when needed.

To have day to day responsibilities for all staff issues, including recruitment,
appraisal, training, performance and quality management, providing supervision and support.

To develop and maintain positive and responsive ‘front of house’ operations,
incorporating excellence in customer service at all times, through training and management of staff.

To monitor and improve Quality Standards of administrative services within their own area, with links with the wider service regarding administrative standards.

To promote and maintain the image of the Trust by ensuring team members
provide positive and responsive “front of house” operations in accordance with Administrative Services and Trust Customer Care standards.

To represent the team at meetings and groups as delegated by the Administration Manager.

To participate in the organisation of projects and training events etc.
