Executive Assistant

You will be experienced, extremely well organised with natural interpersonal skills. The role also encompasses work which requires a high level of discretion and confidentiality.
- You will be able to communicate effectively internally and externally. You will need to have strong organisational and administration skills with the ability to prioritise workload. You will be IT literate with experience in using Microsoft Office 365 and the Google Suite. Being proactive and having a can-do attitude are essential in this role. This role would suit a professional PA with experience providing high level administrative and secretarial support to a CEO/MD in a fast-paced environment.
- **Key Accountabilities and Responsibilities**:
Proactively manage the Director’s busy diary, accommodating regular complex changes in their schedule and picking up diary conflicts so that key deadlines are met and responsibilities fulfilled as efficiently as possible
Travel with the Director to meetings as necessary
Assist with personal errands as and when required
Encompasses Office Manager role, ensuring office is clean, stocked and meetings rooms are prepared
Conducting assigned research, including analysing and summarising key findings to support the Director's decision making
Arrange the Director's travel arrangements
Managing the Director's expenses and simple accounts
Manage the Director’s daily calendars and meeting schedules
Prepare meeting agendas, attend meetings taking minutes and manage follow up actions
Carry out research, analyse information and create executive summaries
Have commercial awareness, establish professional relationships with key clients and maintain notes on the company CRM
Maintain robust filing and administration systems
Write, prepare and format documents in Excel, Word and PowerPoint
Handle confidential and sensitive information with the upmost discretion
Proactively identify opportunities to improve current processes and increase efficiency and effectiveness within the business
Manage projects through to completion on behalf of the Director-

Experience at Executive PA senior level (4+ years minimum)
Excellent listening, interpersonal, written and oral communication skills, able to communicate clearly and confidently to have a positive influence on others
Excellent time management and organisation skills
Pro-active, exceptionally well organised and able to prioritise
Strong attention to detail; takes pride in delivering work to high standards
Able to manage multiple projects and tasks simultaneously
Advanced Microsoft Office 365 skills (Excel, Word, PowerPoint)
Strong team ethos, ambition and energy
Flexible and calm under pressure

Degree qualified
Strategic thinking, both internally and externally, an awareness of the ‘big picture’ and looking ahead
Previous managerial experience

Small and fast growing property business based in Kings Heath & Moseley in South Birmingham. With a team of 25 staff operates in various property sectors including investing, developments, lettings, building, renovations and training.
