The Outpatient Facilitator plays a crucial role within the OMF (Oral and Maxillofacial) department, ensuring that all follow-up appointments are scheduled promptly and in strict adherence to Trust and National requirements. As a key member of the department, the primary responsibility of the Outpatient Facilitator is to maintain an efficient and organized system for booking follow-up appointments, contributing to the delivery of high-quality patient care.

The post holder is responsible for the daily support of the Oral Maxillofacial Receptionists, ensuring effective working relationships within the department and the ‘Investors in People’ requirement is achieved in accordance with Trust Policies/guidelines.

Responsible for diary management of clinics, the setting up and rescheduling of all clinics held in the department and the booking of all follow-up outpatient appointments, in-line with National RTT standards and patient clinical needs as specified by the responsible clinician. The post holder will ensure correct booking systems are in place to implement fully booked outpatient clinics in line with hospital protocols and national guidelines for Outpatient Services. They will utilise the Patient Administration System and keep all patient information accurate and up to date.

The role is responsible for setting high standards of patient care by enacting the Trust’s values at all times.

**Key Responsibilities**:
**Appointment Scheduling**: Coordinate and schedule follow-up appointments for patients who have undergone Oral and Maxillofacial treatments or procedures, ensuring timely booking and adherence to Trust and National guidelines.

**Patient Communication**: Communicate with patients to inform them of their upcoming follow-up appointments, providing necessary information and instructions as required.

**Documentation**: Maintain accurate and up-to-date records of scheduled appointments in the hospital's electronic systems, ensuring completeness and data accuracy.

**Compliance Management**: Stay informed about Trust and National guidelines related to outpatient appointment scheduling, ensuring all appointments meet the required standards and regulations.

**Priority Management**: Prioritise follow-up appointments based on the urgency of patient needs, medical requirements, and clinical recommendations.

**Collaboration**: Work closely with other departments, medical staff, and administrative personnel to facilitate smooth appointment scheduling and resolve any issues that may arise.

**Follow-up Reminders**: Implement a proactive system to send appointment reminders to patients, minimising DNAs and ensuring maximum attendance.

**Data Reporting**: Generate regular reports on appointment bookings, patient attendance, and any relevant data required for departmental analysis.

**Quality Improvement**: Contribute to the continuous improvement of appointment booking processes, suggesting and implementing enhancements to optimise efficiency and
