**Position Summary**

We now have a great opportunity for you to an integral member of our marketing function as our Executive Assistant. Here you will support our Head of Marketing, Northern Europe and also work closely with Squad Leadership team and wider marketing community.

**Key competencies**
- Provide 1:1 support to Head of Marketing, Northern Europe to include diary management, travel bookings and expense reporting.
- Provide EA support to Marketing Directors
- Assist the wider Marketing team in day-to-day administrative requests and support in ad-hoc projects when required.
- Ensure all team members are compliant with Compliance Wire and SUMMIT training.
- Keep team documents up to date including the master Organisation Chart and contact sheet.
- Manage agendas for departmental Marketing Meetings and quarterly events.
- Lead for the Marketing internal Engagement programme, including managing budget and expenses.
- Managing and maintain procedures within the department and wider office environment.
- Central point of communication and contact for all logístical needs and facilities planning for Marketing Hub team.
- Provide on-boarding support to new team members, to include IT orders, meeting invite support, and appointment of team buddy.
- Support Talent Acquisition with the scheduling and arranging of interviews with Marketing Directors & Squad Leads.
- Manage all Marketing Announcement Communications - ensuring all announcements are communicated to wider audience on the day of any announcement.

**Additional marketing responsibilities**

**Event Management : Lead planning and logistics for marketing specific events / meetings**
- Researching venues and suppliers
- Event pre-planning and logistics for 4 Marketing meetings per year
- Provide internal event support for companywide events including the annual company conference and other ad-hoc events throughout the year, where required.

**Agile Way of Working : Cultural engagement / agile principles communications and meeting support**

**Lead renewal of business partners literature on behalf of J&J Consumer Healthcare**:

- Co-ordinate and collate updating of OTC Directories
- Chemist and Druggist
- Counter Intelligence and PAGB
- Liaise with Brand teams and Medical team to ensure entries are updated and return all to publishers within deadlines

**Records Coordinator**:

- First point of contact for all RIM related activities:

- Creates RIM awareness within their department by promoting the necessary training, the correct use of RRS, and the RIM website.
- Coordinates communication between RIM and the department.
- Supports RIM program events and the creation of procedures for the department.

**Qualifications** What we are looking for**:

- Experience of working within a largescale multinational organisation
- Experience working in a similar stature with Senior Leaders of an organisation
- Strong proficiency in English is required
- Strong proficiency in Microsoft Office is required
- Experience in life sciences will be an added advantage
- High level of administrative skill with the ability to learn quickly and high adaptability rate
- High level of attention to detail and who is proactive in their day-to-day tasks
- A strong team player who enjoys working with others and can follow processes with patience, persistence, and accuracy.
