**ADMINISTRATOR VACANCY**
**Full time position available / 12 Month Fixed Term (with a view to a Permanent Contract)**
An exciting new opportunity has become available for an enthusiastic and dedicated individual to join our friendly team as an Administrator.
**Job Summary**
- To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team.
- Duties can include but are not limited to supporting the administration and receptionist teams with patient registration, booking appointments, processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers and in accordance with current policies, including the use of the electronic referral service (ERS).
- Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
- Receive, assist, and direct Patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
**Primary Responsibilities**
The following are the core responsibilities of the medical administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
- Processing incoming and outgoing mail
- File and store records as required
- Photocopy documentation as required
- Process letters as requested
- Typing letters, reports and associated documentation as required
- Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records
- Process referrals to external agencies such as secondary care
- Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently
- Input data into the patient’s healthcare records as necessary
- Action GP2GP tasks
- Process referrals using the electronic referral system (ERS)
- Maintain an accurate referrals database
- Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms
- Supporting the GPs with the Medical Reports.
- Process incoming e-test results, ensuring they are referred to the relevant clinician
- Read code data on SystmOne
- Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
- Manage all administrative queries internally and externally as necessary in an effective manner
- Carry out system searches as requested
- Maintain a clean, tidy, effective working area at all times
- Support all clinical staff with general administrative tasks as requested
**Secondary Responsibilities**
In addition to the primary responsibilities, the medical administrator may be requested to:
- Partake in audit as directed by the audit lead
- Support reception staff, providing cover during staff absences
- Book appointments
- Complete opening and closing procedures in accordance with the duty rota
- As required support the medications team in the management of repeat prescriptions, ensuring they are processed accurately and efficiently
