Great Western Hospitals NHS Foundation Trust (GWH) is seeking a Programme Support Officer to support their significant and exciting journey towards implementing and sharing an Electronic Patient Record (EPR) across the Acute Health Alliance constituent Trusts i.e., Royal United Bath Hospital (RUH), Salisbury Foundation Trust (SFT) and Great Western Hospitals NHS Foundation Trust (GWH), Swindon.

The post holder will work as part of a busy and dynamic team in delivering an effective programme of work, supporting managers and staff with the EPR programme workstream and project activities. Day to day the work will involve supporting the teams to ensure the portfolio of tasks and projects is planned and managed effectively using PRINCE2 methodology and documentation standards.

The majority of the work will be undertaken remotely, but with a requirement to be work from GWH when necessary and potentially travel to other NHS sites when required. You will therefore be a self-starter and used to working with mínimal supervision.

The post holder will work under the guidance of the GWH EPR Programme Manager to provide programme and project support on a range of PMO tasks. Support will be provided using standard PRINCE2 and other appropriate project management methodologies.

The post holder will provide support in relevant programme management groups, be actively involved with the day-to-day delivery of the programme activities and will manage both programme and project-level documentation on behalf of the EPR programme.

1. To provide comprehensive PMO support to the AHA EPR programme, working both at an individual Trust level and supporting projects and workstreams across the 3 constituent AHA Trusts.
2. Design and maintain a PMO configuration structure, using appropriate tools, processes and techniques, to ensure effective PMO management.
3. Establish and maintain a comprehensive PMO library ensuring appropriate access and confidentiality is maintained across the AHA constituent Trusts.
4. Using PRINCE2 or other suitable project management methodologies, support the spectrum of regular programme, project and workstream meetings.
5. Making advanced level use of MSProject and MSExcel, amongst other industry standard software, support the creation and tracking of activity against project plans for multiple projects and workstreams across the AHA.
6. Produce regular and ad-hoc reports for presentation to a variety of audiences at all levels across the AHA. In doing so, the post holder will need to assimilate a wide range of complex and sensitive information and present this in a clear and concise way.
7. Produce clear visual materials, programme documentation, and data for use in reports, briefings, workshops and meetings for both internal and external presentations.
8. Maintain programme risks and issues, actions and decisions registers.
9. Working with the programme and the project management teams across the AHA, identify and document decisions or exceptions that need to be escalated to Programme and Trust Boards and committees, support the programme manager with the creation and presentation of these documents, whilst adhering to the Trust and Programme standard documentation formats.
10. Working closely with technical, clinical and professional staff across the AHA, including third parties, support the programme and operational teams with operational change processes, policies and practice as required to support the implementation of the programme. This may involve the analysis, collation and presentation of complex information, as well as working with, and supporting, individuals resistant to change.
11. Contribute to the continuous improvement in programme management best practice, communicating and coaching other project and workstream members, who often have no previous project experience.
12. Support the AHA programme management to ensure delivery of the programme to the agreed timescale, budget and quality criteria.
13. Lead on meeting arrangements and the timely management of the required documentation pre and post meetings.
14. Develop an innovative approach to problem solving whilst ensuring a cohesive attitude to departmental and individual responsibilities.
15. The post holder will be required to work effectively and flexibly across a variety of Trust, NHS or third-party sites as and when required, and will be expected to hot-desk in most locations with regular VDU use and required to work via laptop.
