Job Description Summary:
As a Senior Account Executive (SAE) you will take ownership as the ‘go to’” person for driving your assigned projects, assuming responsibility for its tactical implementation and making a proactive contribution to supporting your clients with the creation of high quality output of work.

You will be experienced in the day-to-day support requirements of the account team, and as you continue to refine your project management skills - displaying problem solving capabilities and a high level of accuracy in your work - you will use your knowledge and experience to coach junior team members.

Where required you will feel confident to make decisions, give briefs and liaise with the client directly, as well as support the direction of the account.

The logging and completion of your timesheets which is a fundamental part of your role within the business, supports reviewing workloads and effective resource planning.

Job Description:
Main Tasks:
Project Management
- Develop project timelines, in conjunction with the Account Manager/Account Director and project team (creatives and writers) flagging any potential timing issues with the project lead
- Arrange internal project kick-off and update meetings, and ensure the project team is briefed on the project’s requirements
- Plan ahead to arrange and manage internal/external meetings, coordinating requirements such as booking and preparing rooms in advance, technology requirements, organising refreshments, travel arrangements and setting-up and testing of equipment
- Attend client meetings/conferences; produce minutes and/or contact reports (or oversee their development) within agreed timeframes
- Set-up and maintain job bags and ensure all actions are properly tracked
- Ensure status reports are completed fully and accurately (either directly or indirectly)
- Demonstrate a confident knowledge of the client, their products and objectives, for each project on the account you are working on e.g. be the ‘go to’ person as the knowledge base for specific projects
- Act as an intermediary between Account Lead and Account Executive to help manage junior team workloads and highlight any potential issues
- Proofread all materials during the amends and QC process whilst also developing accurate proofreading abilities
- Drive the quality check process and ensure it is followed and completed for all projects, at all stages, by all members of the team
- Ensure all resources are made available in accordance with the project timeline e.g. booking of studio time, creative, proofing, recording equipment, etc.
- Source reference materials, mark-up references including use of client review systems, e.g. Zinc, Mercury, Veeva Vault
- Maintain project style sheets and central record resources/databases
- To ensure the completion and accurate entry of details within your timesheet as part of your day-to-day activities, this will be reviewed on a weekly basis.

Financial management
- Keep direct cost trackers up-to-date and track costs against original budgets and regular WIP reports. Flag any issues to the account lead
- Source accurate and competitive supplier quotes where appropriate
- Cross-check project timelines against budgets to ensure budgeted hours correlate with resource time booked
- Draft budgets under guidance from the account lead, ensuring input from the creative team, production, and writing teams on the number of hours required to complete tasks

Commercial awareness and business development
- Continue to build knowledge of client products, therapy areas, portfolio and commercial strategy
- Carry out research using the internet and other identified sources to keep the team upto-date with issues/events/changes in the external environment that could impact new and existing business opportunities
- Assist with the preparation of proposals and cost estimates where requested
- Source and supply accurate and timely information for pitches and additional business opportunities
- Assist and support new business opportunities, at research, preparation and pitch stage
- Demonstrate an increased appreciation of the bigger client picture, including competitors and overall business objectives
- Seek out and be involved in new business development by working with team members to identify and capitalise on business opportunities

General Administration
- Ensure that files on the server are set-up and saved in the correct job folder, as well as ensuring old/superseded documents are archived appropriately
- Ensure all written communication is of the highest quality (use of good grammar; spell-checked)
- Ensure all agency procedures are adhered to e.g. set of appropriate templates, internal QC procedures, project files are filed accurately and version controlled
