An opportunity has arisen for an experienced administrator to join our Mental Health In Reach team based at HMP Risley.

The successful applicant will provide administrative support to the Mental Health Manager and their wider team as well as supporting the administration team in ensuring that a quality service is provided to the team and our patients.

The post holder will provide a comprehensive administrative support to the clinical staff and managers within the mental health pathway at HMP Risley. The pathways comprise of a mental health InReach team, talking therapies and psychiatry.

The post holder will maintain the office organisation and support all clinical staff working in the department with additional responsibility for supervising and supporting junior administrative staff working within the department.

The post holder will be responsible for collating data from the clinical system and supporting the Service Manager and Mental Health Manager in preparation for quarterly contract meetings.

**Secretarial / Administration Duties**:

- To retrieve reports from the Clinical/prison Information Systems, input data and interrogate the system for information as required.
- To be responsible for ordering stock and non-stock items as instructed and to maintain records of goods ordered and received.
- To forward forms to Supplies and Accounts in accordance with department and Trust/Prison policies.
- To be responsible for the receipt, checking and distribution of items for the Trust/Prison Services. This includes handling and maneuvering heavy packages/boxes.
- To complete and follow up forms as requested, e.g. works requisitions, complete incident forms, etc.
- To arrange external appointments for prisoners with other agencies.
- To extract data from the clinical system, TPP SystmOne, for data entry onto the Heath and Justice Indicators of Performance and Quality Framework data capture template for further analysis with the management team, in preparation for the quarterly contract meetings.
- To collect and collate Trust and departmental statistics as required.
- To arrange meetings as required, booking venues, refreshments and arranging attendance as required.
- To attend meetings as required and take minutes.
- To deal with enquiries from patients, carers, the public and staff from Health and other agencies.

**Staff Management**:

- To organise IPDR and staff interviews and complete and distribute associated documentation.
- Ensure all new staff are provided with all relevant documentation and organise their Induction Training.
- To record and monitor staff details such as annual leave, sick leave, maternity leave, travel expenses, training, etc.
- To oversee and carry out the administrative duties related to the Recruitment Procedure.
- To supervise and support the other departmental clerical staff in their day-to-day duties.
