Précis of Main Terms and Conditions

1. Paid 37 hours per week, ( but work 37.5 as last Friday in month finish at 1pm)

2. Flexible as required to attend/stream evening meetings and undertake other outside tasks and activities as directed by the Town Clerk.

3. Annual Full Time Salary Below SCP scale £20,258 - £21,189 dependent on experience and qualifications

4. Local Government Pension Scheme with employer contributions.

5. Annual paid holiday 21 days plus 3 days for Christmas and after 5 years service. rising to 25 days (pro rata) plus 3 days for Christmas (Bank Holidays not included)

Person Specification - Main Attributes

1. Experience of office administration

2. Preferred knowledge of local government statutory framework

3. Organised and diligent

4. Diplomacy and discretion skills.

5. Must be politically neutral.

The list of skills an Administration Assistant should possess include:

- Good reading and writing skills.
- Strong grammar and spelling.
- Competent keyboard skills.
- Good communication.
- An ability to work individually and as part of a team.
- The ability to concentrate for long periods of time.
- Attention to detail.

Overall responsibility

Provide administrative support to council officers and councillors

Prepared to learn office procedures.

Comply with council’s policies and resolutions.

Specific responsibilities

A. The ability to work with a small team is essential

B. Answer and direct phone calls

C. Receive visitor enquiries at the front counter

E. To maintain the Town Councils notice boards

F. Development and maintenance of filing systems

G. Order office supplies and research new deals and suppliers

H. Maintain contact lists

I. Act as the point of contact for councillors, residents, colleagues and others

J. Liaise with Town Clerk and other staff to assist with projects

K. To open and close Hythe Town Council properties when required

L. To post agenda’s, minutes and other media onto the Town Council’s website

M. To post events, etc on social media

N. To undertake in house training in connection with the existing and any future booking packages

O. Assist in the preparation of the Hythe Town Council Strategic Plan

P. To support the Town Council’s policy on Climate and Ecological Declaration

Q. To administer the football bookings

R. To log the incoming and outgoing post

S. To assist with the collation and circulation of Council and Committee papers

T. To provide administrative support at evening Council and Committee Meetings.

U. To provide submissions/adverts for the Hythe Life Magazine and other public relation documents as instructed by the Town Clerk.

W. To aid the Town Clerk in administration and maintenance of the Town Councils website and social media as per Council policy.

X. Any other duties as reasonably directed by the Town Clerk.
