My client is the world's most awarded B2B communications agency. Headquartered in London and with offices across the UK, Poland, and the US, they are growing fast and are looking for an experienced and highly organised Receptionist / PA /OM to join our ever-growing agency. Based in our London office, this role is essential to the office being run efficiently and effectively. The role is extremely varied and is ideal for an enthusiastic receptionist, administrator or PA looking to take on broader challenges.
**Key responsibilities will include**:
- Providing PA support to the CEO, including diary management, arranging transport, organising events etc
- Welcoming visitors to the office and providing refreshments on arrival and during meetings
- Liaising with the building manager and concierge as to the arrival of all visitors, including coordinating repairs and maintenance work
- Being the first point of contact for callers to the office switchboard for London and Oxford, providing ad-hoc remote cover for the Office Manager based in Norwich
- Office tours and health and safety inductions for new employees
- Trained first aider and fire marshal
- Ordering stationery and supplies, managing vendors
- Management of meeting room bookings
- Providing ad-hoc admin support to the finance, HR and IT teams as part of the wider Support Services team
- In conjunction with the finance team, negotiating business rates for contracts including energy deals and mobile phones
- General facilities management including liaising with cleaners, and ensuring the office is presentable at all times
**Experience / skills required**:
a
- Demonstrable experience working in a busy and varied administration role
- An understanding or interest in marketing / creative industry is desirable but not essential
- Positive, warm, and engaging personality, you are the first point of contact for our clients visiting or calling the agency
- Pro-active self-starter, able to work independently
- Highly organised and experienced in multitasking
- Exceptional attention to detail
- Strong communication skills
- Excellent interpersonal skills and ability to build & maintain relationships
- Able to work under pressure
- Good IT skills, including using MS Suite (Teams, Word, Excel, Outlook etc)
