We are seeking a full time, experience administrator to work in our residential care home for children who cannot remain in the family home due to situations that may involve trauma, abuse or neglect.

The residential home is in a rural setting, close to J26 of the M5. However there are no train or bus links nearby so a car is essential for your commute.

The hours are 09.00-17.00 Monday to Friday with 30 minutes unpaid lunch break (37.5 hour per week).

The salary is £22,000 per year.

**Key Responsibilities**:
To provide an efficient, professional administrative service to support the Management of Evolve Childcare Limited in delivering Evolve’s objectives to achieve positive outcomes for the looked-after children in the home.

Ensure that the reception area and communal meeting rooms are tidy and present a positive image of Evolve to visitors.

Meet and greet all visitors, contractors and professional advisors visiting Evolve and ensure they are aware of and comply with Evolve’s safeguarding requirements.

Regular minute taking (and subsequent typing of minutes) for management meetings.

Diary management and meeting/event coordination for management, as required.

Administration tasks and deadlines happen on a daily, weekly, monthly, annual and ad-hoc basis. The post holder organises his/her own workload and administration function requirements.

Planning of short-term and long-term workloads to ensure that deadlines are met in an environment of constant interruptions and changing priorities. The organisation of such workloads should be discussed with Management on a regular basis.

To work effectively as a member of a multidisciplinary team, regularly liaising with Evolve Childcare Management and Care Workers, and external partners.

To maintain a child-centred approach, fundamental to safeguarding and promoting the welfare of every child. To keep the child in focus when making decisions about their requests and/ or actions..

To take responsibility for own professional development, maintaining essential qualifications, regularly updating knowledge, and undertaking all training opportunities provided by the company, including safeguarding, GDPR and safer recruitment.

To be responsible for the implementation of the Health and Safety Policy as far as it affects your role, colleagues and others who may be affected by the role. To monitor the effectiveness of the Health and Safety arrangements and systems to ensure appropriate improvements are made where necessary.

Since confidential information is involved with the duties of this post you will be required to always exercise discretion and to observe relevant codes of practice and legislation in relation to data protection and personal information.

To manage the weekly SLT compliance process, to produce the weekly compliance document on time and present to the SLT for discussion at their weekly meeting.

To support new staff as and when required as part of their induction, introducing them to the site, and completing parts of their initial induction.

To manage the administrative process of referrals, receiving all referrals from local authorities, filtering based on the requirements specified by the registered managers, and sending on to RI for further review. Maintaining the referral spreadsheet and providing analysis as and when required.

Managing the training matrix and training records, ensuring that staff remain compliant and complete training as and when required, ensuring that all new staff are booked onto training required.

Sourcing and booking training as directed by the registered managers.

Maintain the diary for the home, being aware of when Supervision and Appraisal are due for staff, when specific reports are required, (Reg 45,46 etc), LAC reviews for children.

Archive records from the homes and maintain the archive so that records can be located if required.

Any other administrative task as and when required, including photocopying, preparing documents for meetings, scanning and sending documents, supporting staff with SOLDO etc.

**Skills/Qualifications/Experience**
- Knowledge of Regulated Children's Homes and the requirements for record keeping and processes is advantageous
- Demonstrable experience in administration procedures.
- Experience of working with office technology, e.g., telephone systems, computers, photocopiers, printers, franking machine.
- Ability to work flexibly and accurately under pressure without close supervision is imperative.
- Ability to prioritise workload.
- Ability to work as a team player.
- Good numeracy and literacy skills, together with excellent verbal and written communication skills.
- To be understanding of the needs of children who may have a history of trauma, neglect and/or abuse or with special educational needs (SEN).
