The Corporate Communications team is responsible for protecting and enhancing the brand and reputation of the firm with media, clients and other internal and external stakeholders. Its activities also underpin employee engagement and cultural change by managing and implementing a range of internal communication strategies from Executive-led Town Halls and intranet content to charitable volunteering. The team manages: External stakeholder communications - Media relations - Issues management - Social media - Client communications Internal communications - Intranet content - Executive communications and Town Halls - Divisional communications - Employee/team newsletters

Brand and Digital - Corporate identity and management of brand guidelines - Intranet development - Websites - content and development - Advertising and sponsorship - Conferences and Events Corporate Social Responsibility - Management of charitable partnerships - Staff volunteering - Annual CSR report

MAIN PURPOSE OF THE ROLE Responsible for supporting the Corporate Communications team for EMEA and International Securities. We work in a fast-paced environment and are a very busy team - we need someone with excellent organisational skills who can bring a structured approach to our workloads, and provide general administrative support to the whole team. A proactive approach to work and ability to get things done is a must.

KEY RESPONSIBILITIES

Day-to-day administration within the Corporate Communications team.

Managing the team planner and event calendar.

Coordinating meetings and small events, liaising with Technology and Facilities.

Managing onboarding of external suppliers, and acting as first point of contact on behalf of the team.

Supporting on budget reporting and management; liaising with Finance, Accounts Payable and Procurement, ensuring prompt payment of invoices.

Supporting on maintaining other communication collateral such as production of posters, banners and fliers.

Managing the Corporate image database.

PA support to the head of Corporate Communications including diary management, and internal reporting.

Ad hoc project management.

WORK EXPERIENCE

Essential:
A reasonably strong administrative background

Proven experience of having worked successfully with a diverse group of people

Preferred:
Experience of having worked in financial or professional services.

SKILLS AND EXPERIENCE

Functional / Technical Competencies:
Essential
- Strong written English skills.
- Sound numerical skills.
- Proficient in Microsoft Office and Excel

Preferred:
Photoshop - training can be provided.

PERSONAL REQUIREMENTS
- A proactive, motivated approach, with the ability to remain calm in a pressurised environment.
- The ability to operate with urgency and prioritise work accordingly.Excellent attention to detail and accuracy.
- Strong problem solving skills.
- A positive, sunny disposition / a “can do” attitude
- Good team playerNaturally curious and driven

PERFORMANCE AND DUTIES

The role holder will be assessed in accordance with their employing entity’s performance framework and process with relevant input obtained from the dual hatting entity as relevant.

As duties and responsibilities change, the job description will be reviewed and amended in consultation with the role holder. The role holder will carry out other duties as are within the scope, spirit and purpose of the role as requested by their line manager or Department Head.

MANAGING CONFLICTS OF INTEREST

The role holder will have responsibilities for both MUFG Bank and MUFG Securities EMEA plc.

The role holder will be required to perform their duties and responsibilities on an entity neutral basis, without favour.

The role holder is required to follow regulatory requirements applicable to ensure each business is appropriately supported and to maintain the legal entity integrity of each of MUFG Bank and MUS.
