Job role: HR SYSTEMS AND DATA ADMINISTRATOR

Location: Edinburgh (Hybrid)

**Salary**: £25-35k (dependant upon experience

Shift Pattern: Monday-Friday, 9am-5pm

Reporting to HR Systems Manager, you will support the delivery of an efficient system support service and ensuring data integrity across all HR Systems. You will support the development and management of the HR and Payroll systems, ensuring that systems are used to their maximum potential and data is accurate to support business needs and data is accurate.

The role will involve:

- Support, development, and maintenance of the HR System (iTrent)
- Acting as a super user of iTrent, supporting the work of the HR team & the wider business through the collation, manipulation and interpretation of data when required

Key Responsibilities:
- To develop and maintain appropriate training mechanisms for users, including written guides, on-line and face to face training.
- Update the HR System with any changes to the organisational structure (i.e., reporting lines).
- Create/maintain user logins and support users with access issues.
- Ensure employee data is correct and up to date including conducting Data Protection checks and data housekeeping activities.
- To ensure that system documentation is accurate and complete for all systems in the HR Systems Team’s area of responsibility.
- Work with MHR on fixes and changes to the systems and troubleshoot issues.
- Research and contribute new ideas for HR management information.
- Ensure employees/managers understand their responsibilities with self-service functionality and ensure employee changes are updated and processes are adhered to.
- Collaborate with HR to ensure HR systems and reporting is meaningful and continually supports the business.
- Contribute to projects designed to develop and enhance Menzies HR and related systems, ensuring that such projects are properly scoped, resourced, managed and delivered on time and on budget.
- Drive data accuracy and consistency to ensure the business is able to make clear data lead decisions
- Support HR Systems Manager to transform current HR and payroll processes to be efficient, consistent and streamlined
- Support annual initiatives (salary review, bonus) by presenting accurate and clean data
- Assist and partner with other teams across Menzies, adhering to data protection guidelines
- Support the iTrent upgrade process including relevant system testing across all modules
- To provide accurate, timely and user-friendly reports to HR, Payroll, people managers, external regulatory bodies and other system users, in line with agreed requirements.
- Responsible for developing the system to support business needs along with additional projects and initiatives

Experience required:
- Some expereince of work with HR systems and data, preferably iTrent. this can be taught.
- Developing and maintaining strong internal relationships
- Good communication skills, both orally and written, with the ability to produce high quality and effective documentation/reports on complex issues
- Proven computer skills and knowledge of Microsoft Office products (Microsoft Excel, Word, PowerPoint, etc.)
- Attention to detail, commitment to quality work and well organised.
- Strong analytical and problem-solving skills
- Willing to learn new systems, concepts and methods as industry & initiatives dictate
- A genuine passion for HR systems and data
