**About**

The Arts and Humanities Research Council (AHRC), part of UK Research and Innovation (UKRI) are seeking a Personal Assistant (PA) to join the Governance and Executive Office (GEO). The PA will be responsible for providing comprehensive secretarial and administrative support to 5 AHRC Associate Directors, as well as supporting the GEO team with general secretariat duties.

The PA will act as an important interface with external and internal colleagues and stakeholders at all levels. They will be an exemplary ambassador for the AHRC’s GEO team, demonstrating the values and behaviours of the wider organisation. They will ensure that all work is carried out to high professional standards and in a timely manner, maintaining confidentiality at all times.

**Job description**:
**Main Outputs and Activities**
To provide comprehensive secretarial and administrative support to the 5 Associate Directors, this will include:

- Effectively planning, organising and managing the Associate Directors’ diaries, including using your own initiative to make considered judgements when juggling demands placed on the schedule
- Effectively arranging and supporting both internal and external meetings, including organising briefing papers, circulating agendas and papers, note taking and providing hospitality for meetings
- Managing all other administrative support for the Associate Directors: welcoming visitors, processing expenses, preparing letters, managing the SharePoint electronic filing, and coordinating collation of papers and presentations
- Using your own, well considered, judgement to respond to issues, such as passing on communications to relevant teams and individuals or escalating issues as appropriate
- Maintaining confidentiality and confidence of AHRC’s Executive Team, as well as senior colleagues across UKRI
- Build and maintain relationships at all levels within the organisation and with external stakeholders. Use own judgement to respond to issues or escalate as appropriate
- Willingness to attend occasional events as deemed appropriate

**Person specification**:
**You will need (shortlisting and interview criteria)**
- Experience of providing high quality administrative support to senior level managers
- Excellent time management skills
- Proactive and forward looking; able to identify issues and information required for the AHRC’s Executive Team in advance
- Excellent written and verbal communication skills and ability to draft correspondence, with close attention to detail
- Good interpersonal and collaborative skills; able to foster productive working relationships with a broad range of internal/external contacts at all levels, both remotely and face to face
- Assertive and resilient while remaining calm and professional in the face of conflicting and changing priorities
- Strong negotiating and influencing skills
- Discreet and respectful of confidentiality: able to recognise and deal appropriately with potentially sensitive issues
- The ability to work flexibly with GEO team colleagues, demonstrating good teamwork and support for other team members
- Demonstrate a continuous learning approach, proposing changes to improve effectiveness and efficiency; ready to learn and develop additional personal effectiveness and skills in this role; open and keen for giving and receiving feedback
- Excellent IT skills (including Zoom, MS Word, Excel, PowerPoint, Teams, and in particular Outlook)
