As part of the role you will provide an effective and efficient secretarial service including attending and minuting meetings. You must be able to work pro-actively and on your own initiative with a sound understanding of the business of the Trust and current practices. To provide courteous, responsive and effective administrative and clerical support to the Estates & Facilities management team within the University Hospitals of Leicester NHS Trust. To work efficiently and accurately within a designated area.
- Provide administrative support within the Estates & Facilities Management Team.
- Provide administrative support for meetings and committees associated with the Estates & Facilities Management Team.
- To be responsible for booking meetings and organising room bookings for the Estates & Facilities Team.
- To be a point of contact in dealing with queries for the Estates & Facilities Team.
- To manage and implement audits and data collection as necessary to meet Trust governance requirements and provide reports as required.
- To promote an effective and efficient service in administration

- Sign in contractors and issue keys and passes
- Ensure contractors working on site have carried out the site induction
- Sign in visitors to the Estates Dept.
- General office administration, managing electronic filing systems
- Ensure that all statutory records and test sheets are filed correctly.
- Accurate data entry based on information provided by others.
- Raise orders at the request of Estates Managers and Supervisors.
- Check invoices against purchase orders.
- Use, update and maintain the Estates computer aided facilities management System (Planet FM).
- Provide support and carry out other duties as may reasonably be required by their line Manager
