**The Opportunity**:
The mission of the Tour Leader Coordinator is to ensure that our Tour Leaders are prepared to run our tours successfully. The Tour Leader Coordinator will provide the information the Tour Leaders require to run the tours by way of Tour Briefs. They will ensure that all documentation is ready and available in a timely manner and follow up with any questions that the Tour Leaders may have.

During the training and development period the role may involve assisting the Tour Leader Manager and Tour Leader Supervisor with administrative tasks around the sourcing, training, and coordinating of our Tour Leaders team to ensure they are prepared and the best in the industry.

The primary function of the position is to make sure Tour Leaders have everything they require to run their allocated scheduled tours successfully. The Tour Leader Coordinator will provide all briefs and debriefs for the Tour Leaders that are running the tours that they manage.

**Key Responsibilities**
- Manage all the Tour Leader requirements for allocated tour series;
- Schedule, prepare and run Tour briefs for Tour Leaders;
- Provide administrative support to the Tour Leader Manager and Tour Leader Supervisor where necessary;
- Schedule, prepare and run Tour De-briefs for Tour Leaders;
- Ensure all documentation is accurate and ready prior to the briefs and debriefs;
- Ensure all Tour Leaders have tour reports for their tours;
- Ensure all documentation for Tour Leaders is filed in the correct place in the drive;
- Carry out Friday Phone Calls for allocated tours;
- Assist with coordinating administration for tours from the Tour Leader Manager;
- Assist with training and development under guidance of Tour Leader Manager;
- Assist Operations with requests related to daily operational requirements of Tour Leaders;
- Day-to-day Tour Leader supervision and support to the Tour Leader Supervisor;
- Handling Tour Leader-related emergency situations - you will be one of the go-to team members for handling any urgent on-road related issues that may occur inside or outside of working hours. You will be on the on-call schedule;
- Coordinate changes to Tour Leader schedules throughout the season, communicating rotas when requested by the Tour Leader Manager and reacting to any changes;
- Updating Year Planner and crew allocations when requested by the Tour Leader Manager;
- Ensuring Tour Leaders have all the necessary Tour supplies, stickers, accommodation, flights/transportation, uniform and other items for their tours;
- When required assist with the onboarding of new and/or temporary Tour Leaders;
- Providing training material to assist Tour Leaders when onboarding and uploading of materials to our internal training system;
- Maintaining the Tour Leader internal Training database and ensuring all the training videos are accurate and updated for new hotels and optionals;
- Assist with the tracking and monitoring of Tour Leader performance;
- When requested by the Tour Leader manager you must provide ongoing training and support to Tour Leaders that are being performance managed;
- Pass on any complaints from suppliers, other crew or guests to the Tour Leader Manager in a timely manner;
- Work with the Tour Leader Manager on the development and implementation of the crew training trips;
- Communicate any crew related feedback to the wider operations department and Coordinate Our Tours (COT) process;
- Ensure that we have current and up-to-date signed contracts for every Tour Leader that is running one of our tours
- Ensure all Tour Leader and Tour related information is available, accurate and up to date in addition to any changes processed to all the correct departments so updates can be made and Tour Leaders feel confident in the information we are providing;
- Assist Tour Leaders with their accounts when required and provide training;
**Required Skills, Experience & Qualifications**
- High school certificate or equivalent;
