We require a **Support Officer to Director of Communication** to cover an existing workload within a major police force, based in **New Scotland Yard (3 days min p/w).**
**This is a Fixed-term Contract for 6 months**
**Key responsibilities**:
- Providing support to the PA and Staff Officer with diary and mailbox management.
- Responding to queries on behalf of the Director of Communication.
- Supporting with the organisation of events, conferences and meetings, including the booking of venues, travel and accommodation.
- Meeting and greeting visitors at all levels of seniority, internal and external to the organisation.
- Preparing documents, presentations and other materials to a clear brief, using established formats.
- Circulating papers prior to meetings, taking minutes and actions at various meetings.
- Prioritising tasks and deadlines to ensure all are delivered on time by the Director of Communication.
- Ensure appropriate systems and processes are developed and maintained to support effective and efficient day-to-day running of the Director’s office.
- Purchasing for the Director including iProcurement, preparation of invoices, raising purchase orders and processing expenses.
- Recruitment support for the Director including agreeing locally hosted attachments, co-ordinating secondments and more general recruitment admin as required.
**Skills required to be successful in the role**:
- Experience of providing support at a managerial level.
- Experience of organisation, diary management and planning.
- Organised with ability to prioritise own workload effectively, to co-ordinate activities and conflicting demands to ensure that tight deadlines are met.
- Experience of raising POs and paying invoices.
- Effective communication skills, with the ability to work well with range of people at all levels, stakeholder management.
- Good ability to develop strong working relationships with stakeholders at all levels of the organisation and externally.
- Strong computer literate skills, with demonstrable experience of Office software packages (i.e. Word, Excel and PowerPoint).
- Ability to use own initiative, be proactive and deal with issues and queries as they arise.
- Attention to detail and practical experience of gathering, analysing and collating and confidential information.
- Experience of booking meetings and venues - as well as taking minutes and actions at meetings.
- Practical experience in gathering, analysing, collating information as required.
- Drafting responses to relevant queries.
This role offers a competitive salary of**£32,194 - £34,452 (+ Additional location allowance £1,721)
