Volunteer & Placement Co-Ordinator

**JOB DESCRIPTION**

Responsible to: Carer Support Manager

Base: Worcester Office

Hours: 18hrs pw.

Pay scale: £23,074 (pro rata)

Worcestershire Association of Carers is a fast-paced community organisation passionate about delivering innovative, effective, and relevant services in partnership with individuals, communities and stakeholders.

**Purpose of the role**

To contribute to the aims set in the organisation’s volunteer strategy. To recruit, induct, support and retain a diverse pool of volunteers, student placements and apprentices to support the delivery of our services. Contribute to the overall strategic aims of the organisation.

**Responsibilities**
- Overview_
- Proactively promote the value of student placements, volunteers and apprentices within the organisation
- Work with managers to identify and develop appropriate student and volunteer placements across all our services
- Promote and adhere to Investing in Volunteer standards in all volunteer related activity
- Recruitment and Retention_
- Work with managers to identify and develop appropriate student and volunteer placements across all our services
- Proactively promote the value of student placements, volunteers and apprentices within the organisation
- Recruit volunteers and placements through networking and marketing in line with the organisations Marketing & Communications Strategy
- To complete all on boarding preparation for new volunteers and students including IT and telephone setup
- Provide comprehensive and robust induction for student placements, working with colleagues to provide induction and generic training of new volunteers
- Work with volunteers to develop their skills and workplace opportunities
- Liaise with colleagues to resolve placement related issues
- Provide regular support to volunteers by phone or through group meetings
- Proactively promote and support digital confidence for volunteers through accessing online information, training and services, to include the use of social media

- Maintain a high level of knowledge relating to our services to support new volunteers and placements
- To act as an independent support for those on placement or volunteering, complementing the supervision provision provided by managers
- Encourage appropriate volunteer involvement in service development and monitoring

- Develop and maintain excellent partnership working relationships with a wide range of organisations providing a potential source of placements, engaging with volunteer network groups and educational institutions

General
- Produce regular volunteer bulletins
- Contribute to ensure the project is managed within budget
- Submit volunteering expenses claims for payment and record all details
- Maintain accurate volunteering records on CharityLog
- Collect and provide comprehensive, accurate and timely monitoring information, including robust outcomes monitoring on a regular basis and as required

- Undertake occasional out of hours work participating in evening and weekend events
- At all times provide a positive experience for anyone accessing our services
- Increase awareness of the needs of carers and recognise opportunities to promote carer services
- Act as a resource for colleagues and share information, knowledge and good practice in relation to designated specialisms
- Participate in and actively contribute to individual supervision and annual appreciative appraisals utilising the digital tools provided to manage and capture these
- Attend all training and team meetings; all staff meetings and organisational events as required
- Develop and maintain positive working relationships with colleagues, especially working in a highbred environment, ensuring use of digital technology to enhance communication and working relationships
- Contributing to the achievement of the team and the organisation’s goals by working collaboratively
- Ensure the efficient and economic use of all WAC physical and staff resources in order to maximise the use of available funds
- Comply with all organisational and departmental policies and procedures to include internal and external quality assurance processes
- Be efficient, responsible and maintain a high level of personal organisation; keeping timely, accurate and appropriate records
- Work within a framework of safeguarding, equal opportunities and confidentiality
- Work flexibly, being prepared to perform other duties commensurate with the role which may include new areas of operation following consultation
