Job Title**:RESERVATIONIST**

Department: Office / Reception

Hours: 5 days per week, 40 hours a week.

Reports to: Office Manager

**Role Overview**:
Reservation is where The Nare journey starts, the Reservationist makes the very first hotel impression. They are most knowledgeable about the hotel, the room locations and interiors. The Reservationists are fast, efficient and able to multi-task effectively. They run the daily banking, so are talented with numbers and in the same, they follow up all telephone conversations with a written summary so additionally excel in written communications.

**Main Duties and Responsibilities**:
**Guests and Customer Service**
- Responsible for informing guests of the services and accommodation rates of various rooms within the Hotel, making appropriate reservations according to guest needs.
- Responsible for attending to all routes of booking; including online, over the phone, in person or by any other means. Queries need to be resolved promptly and professionally.
- Responsible for informing guests prior to, and on arrival, of the services on offer at the Hotel, upselling offerings such as chauffer, spa treatments and use Alice Rose.
- Responsible for maintenance of clear and comprehensive records of room bookings and billing status.
- Responsible for preparation of daily expected arrivals.
- Responsible for making travel arrangements and programs for arriving and departing guests.
- Responsible for communicating reservation information to the front desk.
- Responsible for tracking room availability on the basis of current reservations and report accordingly.
- Assist in preregistration activities when require and appropriate.
- Assist in acquiring information regarding to areas of interest to target client demographics in particular seasons.
- Have a good understating of room type and availability as well as location, layout and interior.
- Have a good understanding of selling status, rates and benefit package plans.
- Have an understanding of, and support when required, the front office team duties.
- Responsible for communicating reservation information to the front desk.
- Responsible for tracking room availability on the basis of current reservations and report accordingly.

**Administration and Documentation**
- Responsible for creation and maintenance of reservation records ordered by arrival date and alphabetically.
- Responsible for creation of daily menus, dinner confirmation letters and drinks party invitations.
- Responsible for creating and maintaining reservation records, arranged according to date.
- Responsible for preparing letters of confirmation and promptly processing cancellation and modifications are required.
- Assist in general management administration as required.
- Have a through understating of the Hotel’s policy on guaranteed reservation and no shows.

**Finance**
- Responsible for completing end of back banking activities in a timely and accurate manner.
- Responsible for distribution of daily revenue reports to relevant mangers and accounts department.
- Responsible for cashing up point of sale tills regularly through the day. Usually conducted three times per day.
- Assist in development of room revenue and occupancy forecasting. Determining room rates based on selling tactics.
- Have a good understanding of the Hotel’s credit policy.
- Have the ability to open and close the Hotel availability as and when requires on Global Distribution Systems.
- To be fully aware of Health and Safety processes and procedures.
- To complete any duties as instructed by management which is in line with the responsibilities and commensurate with the grading of this post.

**EDUCATION / KNOWLEDGE**:

- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Maths & English language GCSE qualification
- Proven crisis management skills.
- Administrative/Management training
- UK Driving Licence
- Comfortable handling cash and a good level of maths.

**EXPERIENCE**:

- Substantial Previous Office/Administration experience
- Previous experience in a high standard hospitality environment
