Directorate Support Officer

We have an exciting opportunity for a full time Band 5 Directorate Support Officer within the Children's Acute Directorate. This role will support the directorate by managing the day to day activities and have line management responsibilities for the Medical Secretary Teams and administrative/clerical functions within the group. The post holder will be based in New Cross Hospital primarily.
We are looking for someone enthusiastic, who is willing to be hands on and work with staff to get the very best of them with a supportive and motivating management style. A good attention to detail and an aptitude to learn detailed processes is key.
The post holder will take a lead role in ensuring a high quality secretarial service is provided to consultants and their teams within the specialties at all times. The post holder will undertake a line management role for all Admin and Clerical staff within their designated specialty teams. The role requires leadership of the whole secretarial team and has overall responsibility in ensuring patient needs are met by achieving both internal and external NHS objectives
The post holder will work closely with consultants and the directorate management team to co-ordinate clinical activities, ensuring patients are seen in a timely manner, in line with national targets, including cancer waits and 18 week RTT.

To line manage the secretarial teams within the group.
To manage workload prioritising as appropriate, ensuring urgent and important tasks are completed within required time scales. To be proactive in the identification of workload issues that affect clinical service provision and with the support of the Directorate Support Manager, develop and implement action plans to resolve the issues
To work as part of a group with other Team Leaders across the Trust to look at new ways of streamlining and improving secretarial teams as well as the introduction of new technologies
Participate in the process of recruitment and selection of new team members short-listing, interview staff e.g. Secretaries, Administration Assistants
To manage sickness / absence and annual leave of the secretarial teams in accordance with trust policy.
To assist with the monitoring of mandatory training compliance within the Directorate.
To ensure implementation of all relevant Trust Policies within the team e.g. Health and Safety, Patient Confidentiality, Medical Records Policy
Regularly liaising with Directorate Management team to ensure departmental priorities are met.
To assist the Directorate Management team in continuously improving the service delivered to patients by working under their direction to improve the administration process across the whole group
Develop local office procedures/processes
Support the Directorate Management team to arrange cover for Consultant’s in times of emergency/sick leave
Creating, maintain & update new Consultant and Nurse Led clinics
Identify patients that may breach and ensure appointments are secured to ensure compliance of 18 week RTT.
Work collaboratively with Patient Access department to ensure that all waiting lists including the “OWL” are managed in accordance with Trust policies and national guidance.
Receive enquires from patients and staff, resolving enquiries of a more complex nature and dealing with as appropriate.
Ability to receive and provide complex and sensitive information
Liaise professionally with all departments regarding admissions, waiting lists, ad hoc ward attenders and cancellations ensuring hospital policies are adhered to.
Co-operate with the introduction of new procedures, policies or technology, including any technology associated with the Patient Administration System (PAS), assisting team leads with implementation
Respond in a professional and sensitive manner when dealing with confidential issues to patients, relatives, and other agencies.
