**Salary**: £20,330

**Hours**: 37.5 per week (Monday to Friday, 9am to 5pm)

**Length of the contract**: 12 week temporary to permanent following a successful probation period

Grafton Recruitment are now seeking to appoint an experienced Administrator to our Public Sector client based in Eastbourne. The Administrator is responsible for providing administrative assistance to the Private Provider and VCD Compliance Manager, liaisingwith internal and external managers, organisations and agencies as appropriate. The Administrator will also develop and maintain a comprehensive secretarial and administrative service, including typing, minute taking, filing, photocopying, arranging and recordingappointments and meetings and facilitating work required to resources in accordance with relevant schedules.

**Duties of the Administrator**
- To liaise with the operational teams both internal and external, with regard to operational day-to-day running of resources.
- To support the directorate in ensuring that all External Private Providers are complaint to the standards required by the client and other bodies.
- To provide all departments, where necessary, with information with regard to the status of external private provider compliance.
- Provide efficient and effective administration and secretarial support and deal with confidential information.
- Exercise judgement when dealing with telephone and personal enquiries, liaising with internal and external sources to resolve any problems, queries or complaints using own initiative to action accordingly.
- Set up and maintain appropriate filing systems for storage of all papers and documentation in line with the client's policy and record management guidelines.
- Collate, filter and distribute all incoming and outgoing correspondence, preparing standard responses as agreed and within the post-holder's knowledge and capability.
- Maintain completion of external provider records and any other records as required, which could include confidential and sensitive in formation.
- Responsible for the organisation of meetings as directed, liaising and communicating across various departments, both internally and externally. Compile and circulate agendas, record, type and distribute minutes of meetings as required within agreed timescalesand according to the client's policies.
- Foster a positive relationship with internal and external stakeholders.

**Role Criteria**
- Good standard of education including Maths and English GCSE (or equivalent) at grade C or above or a vocational qualification to minimum level 3.
- IT qualifications e.g. ECDL or equivalent experience.
- Experience of using a variety of IT software including Microsoft Office, Access, Excel, PowerPoint and Windows XP.
- Previous experience in a similar role.
- Excellent organisational skills, able to prioritise own workload and meet organisational deadlines.
- Knowledge of a wide variety of administrative procedures.
- Public Sector knowledge.
- Excellent time management skills.
- High level communication skills with the ability to use a variety of media.
- IT literate with the ability to use and produce high quality documents.
