- Job Description
- This role is a part of the Operations team within the Element Six Global Innovation Centre (GIC) in Harwell. It reports into the Purchasing and Logistics Manager, but also supports other functions within the GIC.
- You will primarily provide support in the day to day running of the reception and provide administration support to the Operations Team.
- Working hours are 8am - 4pm shared between 2 on a Job share basis. You will also provide Holiday and absence cover for reception team (full day support) and back up support to Goods Inward and Purchasing

**Duties and tasks**
- Meeting and greeting all internal and external visitors and notifying staff of guest’s arrival, issuing visitor badges and circulating information regarding upcoming visitors.
- Answering calls to switchboard, directing calls and taking messages
- Maintaining contractor visits - ensuring relevant paperwork is available.
- Assisting with general administration of access control system
- Dealing with incoming/outgoing post including but not limited to - Placing in pigeon holes and updating list when people start/leave, Franking, special delivery, recorded post, uploading credit on to the machine. Franking machine audits - update price changes.
- Ensuring reception area is kept clear and presentable, maintain flowers when required e.g. watering
- Updating Who's Where and When, adding travel and taxi confirmation
- Booking all taxis and conducting monthly reconciliation of the taxi account invoices against spread sheet.
- Assisting with daily catering orders and for meetings and group visitors - vending machine, stock control of Tea, Milk etc
- Stationery management, fortnightly stock management, ordering and issuing
- Primary contact for Cleaning Contractor on site, make notes in comment book, check to see if signed off.
- Office seating plan. Update records, new starters/leavers, label desks and hot desk, clear desk when people leave.
- Maintaining site phone book.
- Emergency response execution and notifications including evacuation administration tasks.
- Carry out other reasonable tasks, defined by the business that may be reasonably required from time to time. (ie) Additional data entry & filing as required

- High level of attention to detail
- Ability to multi-task and work in an environment with many interruptions
- Enjoys working in a dynamic environment where each day is different and priorities change frequently
- Capable of working as part of a support team where ‘high personal performance’ is the norm
- Proactive with a “Can do” attitude

- Excellent written and verbal communication skills
- Experienced in communicating with people at all levels in a professional, polite, and confident manner.
