Workforce Assistant

Two excellent opportunities are now available within the University Hospitals Plymouth NHS Trust Workforce Development Team for 2 full-time posts, one permanent post and one on a fixed-term basis for 18 months in the first instance.

We are looking for enthusiastic and motivated individuals to work in a small team processing changes to employees’ terms and conditions eg. changes of personal details, banding, hours, maternity and paternity leave, fixed-term contract extensions, leavers, retirements etc.

You will be qualified to NVQ Level 3 standard or have equivalent demonstrable experience and will have excellent interpersonal skills in order to communicate with employees at all levels. Previous demonstrable experience of using electronic HR systems is essential, as is attention to detail to ensure that data is input accurately and efficiently into ESR. Proficiency in Microsoft Office (Outlook, Word, Excel) and an understanding of Agenda for Change terms and conditions are also essential requirements of this role.

We are looking for someone who is keen to develop, is happy to be involved in a range of different tasks and projects and who feels they can provide a customer focused and efficient service as part of the University Hospitals Plymouth NHS Trust Workforce Development Team.

1. To support the development of the workforce information function of the HR service by providing an effective, comprehensive administration and workforce information service.
2. Provide training, support and guidance to all Trust managers and individuals for accessing ESR, E Learning and Manager Self Service functions
3. To provide accurate data entry onto HR related systems as required by the Workforce Systems Manager and carry out investigation to gain the correct relevant information.
4. To support the Workforce Systems Manager and Workforce Analysts to deliver accurate and timely workforce information reports.
5. To ensure all workforce data is input accurately and efficiently onto ESR.
6. To liaise with Payroll as appropriate

**Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.**

1. Provide autonomous support to the Workforce Development Team for a variety of different requests including HR changes, supporting ESR entry, providing advice, support and guidance to individuals and managers for complex requests and ensuring information is inputted correctly and in a timely manner for reporting purposes.

1. Ensure all employee changes are processed, ensuring the relevant approval is granted and crossed check in line with the Financial Controls process whilst adhering to tight deadlines.

1. Process changes of personal details, hours, grades, cost centres and costings of Trust employees in line with Trust policy.

1. Process Leaver & Retirement (including those taking the Retire and Return option) of Trust requests in line with Trust policy.

1. Provide accurate input of confidential and complex information relating to staff and posts onto ESR.

1. Communicates complex and sensitive information to staff and managers regarding pay, terms and conditions and other workforce requirements

1. Provision of guidance and support in complex and difficult Workforce queries and aligned to Workforce processes and procedures

1. Supporting TUPEs to ensure this is accurately inputted into ESR, information is provided in a timely manner and elearning support is provided as necessary

1. Provide training, support and guidance to individual staff and to all managers in the Trust regarding accessing ESR and Workforce processes.

1. To oversee, organise and coordinate the administration of the Corporate Induction process

1. Carry out administration tasks for the Workforce Information Team as appropriate, this includes photocopying, filing, collating information to continuously improve data quality.

1. Maintain an effective and comprehensive filing system for routine and confidential information, both paper and electronic, in established filing systems, following agreed internal processes, allowing accurate retrieval if required.

1. Receive and deal with telephone enquires in a prompt and professional manner ensuring information is relayed accurately including for workforce enquiries, HR changes, sickness and training information

1. Provide administrative support to the benefits realisation programme of ESR and additional workforce information projects.

1. Support the implementation of Supervisor /Manager Self Service through the training, support and guidance of all managers and employees in the Trust

1. To undertake other tasks and duties as required which are commensurate with the nature of this post
