- £12.12 p/h- Web advert- Vacancy ID: 14640 - Are you a polite individual who can communicate well? An internal University of Oxford department is seeking a new receptionist. You will be responsible for the reception area, for welcoming all visitors to the building and for dealing professionally with any enquiries. You will also provide general support for the building to ensure that the administrative and building management functions of the unit run smoothly. This will include updating and maintaining various systems in the building such as AV equipment, meeting room, and visitor booking systems, and helping to maintain security. You will act as first point of contact for visitors and contractors to the department. This role requires that the post holder works well in a team and is able to act proactively in helping to develop systems for the smooth operation of the department.Reception Duties

**- **Operate and maintain a visitor and car parking booking system and distribute visitor car parking permits.
- Administer contractors’ access cards.
- Notify staff when their visitor(s) have arrived at the Centre.

**- **Answer the Botnar Research Centre reception telephone in a friendly and professional manner, address

callers’ queries, and redirect calls as necessary.

**- **Operate the building’s meeting room and AV equipment booking system.

**- **Facilitate the organisation and smooth running of weekly seminars and termly post-graduate research

seminars. This includes distributing and collecting feedback questionnaires, setting up AV equipment,

helping with travel arrangements for speakers and arranging catering.
- Update the reception display screen with information such as current lecture lists.

**- **Maintain radio contact with Facilities Team to relay fault requests from students and staff.

Administrative Duties

**- **Sort the incoming post.
- Maintain and update the building contact list.

**- **Any other related duties that may reasonably be required by the Botnar Manager and Technical Services

Manager to ensure the efficient running of the building, and other duties, to be defined from time to time,

which are appropriate to the grade.
- Person specification- GCSE, grade C or above, (or equivalent) in Maths & English.
- Willing to undertake training.
- Friendly and professional manner.
- Computer literate with good keyboard skills.
- Able to prioritise and manage own workload.
- Self-reliance and flexibility.
- Excellent interpersonal and strong communication skills.
- Proficiency in spoken and written English with an excellent telephone manner.
- Accurate, numerate with attention to detail.
- Ability to accept responsibility and use initiative.
- Ability to work independently and without direct supervision, and as part of a team with a broad range of

people.
