**JOB SUMMARY**

**Days/Hours of work: Some flexibility may be available but ideally**:
Monday : 11:30 to 5pm

Tuesday : 8:30 to 2pm

Wednesday : 12:30 to 6pm

Thursday: 8:30 to 2pm

Friday: 12:30 to 6pm

**KEY CRITERIA FOR ROLE**
- Clear communicator with good telephone manner
- Working knowledge of EMIS Web
- Working knowledge of Microsoft Office including Excel and Word
- Ability to work effectively as part of a team

**JOB ROLE AND RESPONSIBILITIES**

**Reception**
- Act as receptionist/first point of contact for GPHP office, dealing with enquiries in a pleasant and helpful manner, communicating relevant information as appropriate.
- Answer telephone calls, taking messages and passing on accurately to the relevant person.

**Administration**
- Book appointments and reschedule patients when required using clinical system (EMIS)
- Provide cover for all reception positions as necessary, occasionally from our Epsom site with advance notice
- Meet and greet, check patients in and direct them to the waiting area
- Prepare clinical rooms/equipment and check-in emergency drugs prior to the start of each clinic by ensuring they are fully equipped, clean and tidy
- Send out text messages, patient surveys and record patient DNA’s at end of each clinic
- Use MS tools, such as Outlook / Word / Excel / Teams as required
- Support other team members when necessary.
- Be familiar with the different clinic types in order to provide knowledgeable answers to patient queries.

**General**
- Ensure that all complaints, comments and suggestions are dealt with appropriately, in accordance with policy, resolving where possible and escalating to line manager when appropriate.
- Have a flexible/adaptable approach to their work to meet various deadlines.
- To carry out other appropriate delegated duties as required.
- To have a thorough knowledge of all GPHP procedures and to work in accordance of written protocols

**Health & safety**:
The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in GPHP’s health & safety policy, health & safety manual, the infection control policy and published procedures. This will include:

- Using personal security systems within the workplace according to GPHP guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Actively reporting health and safety hazards and infection hazards immediately when recognised
- Keeping own work areas and general/patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role
- Undertaking periodic infection control training (minimum annually)
- Reporting potential risks identified
