Branch Administrator

**Contracted hours**:
TruFrame Trade Centre Ltd’s standard hours of work are from Monday to Friday (07:30am - 16:30pm).
The Branch Administrator would be contracted to work Monday to Friday, with their normal working hours totaling 42.5 hours per week. During their working day, they are entitled to an unpaid break of 30 minutes.
Flexibility is required to meet the needs of the business. The Branch Administrator will be expected to work such hours as necessary for the performance of their duties. This may include covering holidays and working evenings (from time to time).
**Role outline**:
The Branch Administrator is responsible for providing an outstanding level of service to all customers and stakeholders, both in a customer-facing environment and over the telephone, which will contribute to the overall success of TruFrame Trade Centre Ltd.
They will be efficient and professional to effectively maintain stock levels, identify and recognise customer needs, assist the Branch Manager with any administrative functions and maximise sales at every opportunity in order to attain the Company’s objectives and ideally exceed branch targets.
The processing of orders and specifications is also a fundamental part of this role, as well as providing customers with accurate product quotes and prompt invoices. In addition, the Branch Administrator will be expected to deliver products to customers (as and when required), in a prompt manner to guarantee and ensure that customer satisfaction is effectively prioritised.
**Key tasks and responsibilities**:
- Establish a positive customer relationship to maintain and enhance the Company’s reputation.
- Identify current and upcoming customer requirements (and market trends) by establishing a genuine rapport with potential and actual customers.
- Undertake the opening and closing of the branch.
- Effectively advise all potential and existing customers on the branch’s products and ensure that all outstanding queries are answered to an exceptional standard.
- Ensure that all incoming and outgoing deliveries are unloaded/loaded in the correct manner and are checked thoroughly to ensure that they meet the required quality standards.
- Process and accept payments from all customers in an efficient manner.
- Undertake account work and invoicing using SAGE.
- Raise purchase orders and book stock in using WAP.
**Person specification**:
- Previous experience of working with windows would be advantageous.
- Ideally possess experience of working in a sales environment.
- Previous experience of providing an excellent service to a wide range of customers and stakeholders (including handling difficult situations).
- Previous experience of processing product quotes, orders and invoices for both existing and potential customers.
- Ability to monitor and report on all branch activity including stock control, stock variances and all other branch activity to the Branch Manager.
- Possess basic computer literacy skills
- Good numeracy skills
- Ability to prioritise and maintain housekeeping standards
