**Job Title: Personal Assistant to the CEO**
**Location: Oxford/hybrid working (40% of time in the office)**
**Job type: Part time (circa 20 hours)/Flexible/Permanent**
**Salary: £22k to £26k (pro-rata)**
Oxford Hospitals Charity helps to transform care - funding the best medical equipment, research, training and facilities for patients and staff in the hospitals of the OUH NHS Trust.
Although we aren’t a huge charity we have a big impact - and that's because we keep things local and work very closely with our clinical colleagues to understand how we can really make a difference.
Working with our hospital Trust and community of supporters, our charity’s mission is to raise standards above the level that NHS funding alone allows. We turn donations into the best possible medical equipment, transform wards and departments, champion medical innovation and research and provide specialist support, training and education for our dedicated NHS staff.
The hospitals that we support are the John Radcliffe Hospital, Oxford Children's Hospital, Churchill Hospital, Nuffield Orthopaedic Centre and Horton General Hospital.
This is a new role providing direct support to the Chief Executive Officer (CEO). In doing so, there is an opportunity to be involved with a wide range of the charity’s activities.
We are delighted to be able to offer flexibility with part-time hours and hybrid working, and will consider with applicants what is possible.
**Personal Assistant Responsibilities**:
- Management of the CEO’s diary; scheduling meetings, responding to meeting requests, gathering relevant background material for meetings and sending follow up communication
- Support the CEO to manage workload in relation to priorities and deadlines
- Maintain an organised and efficient document filing system for the CEO
- Undertake occasional information capture and analysis for the CEO from the charity’s fundraising, programme and finance systems
- Meeting support; work with the CEO to prepare and assemble materials for meetings, take minutes and coordinate/action any follow-up as required
- Coordinate, plan and where appropriate attend, internal and stakeholder meetings and events
- Working with the CEO to ensure various operational activities are being delivered
- Providing coordination support to the wider team with the planning and coordination of key business activities such as onboarding arrangements for new employees or Trustees
**Personal Assistant Requirements**:
- Experience of providing PA support to a Senior Executive
- The ability to manage competing tasks and priorities within an ever-changing workload to determine which require immediate attention from the CEO
- Organisation and the ability to focus and multitask to complete a wide variety of tasks
- Excellent communication and presentation skills, both written and verbal.
- Strong attention to detail to ensure tasks are completed thoroughly and correctly
- Effective interpersonal skills to interact positively with all employees, colleagues, and stakeholders
- Able to maintain a high standard of integrity and discretion in all professional, personnel and financial matters
- Strong knowledge of MS Office including Outlook, Calendar, Excel, Word and PowerPoint
