**The Job**
We are looking for a **temporary, part time Administrator** to support the People and Culture team. **Working in the office**, this role will involve general administration and duties related to human resources, recruitment and facilities functions. You must be a self-motivated, proactive person with respect for confidentiality and a friendly approach. This is a varied role where no two days are the same.
This role is part time, two days per week (**Thursday and Friday)** and is **office based**. The successful applicant will be required to be in the office Thursday and Friday every week.
**Responsibilities (listed but not limited to)**
- Be the first point of contact for all employees and office visitors
- Greeting visitors, contractors and new hires into the office, ensuring that the individuals are made aware of Fire Exits, office facilities and any other protocol such as safety and security
- Assigning visitor passes to all visitors, signing them in and out of the building, including employees when applicable
- Arranging company lunches and beverages for meetings when required
- Ordering consumables
- General office administration
- Liaison with external suppliers and maintenance contractors
- Day to day office facilities requirements
- Conduct weekly, monthly, quarterly, and yearly Health and Safety checks, ensuring all recordings are kept precise in the master spreadsheet
- Complete the weekly fire alarm test
- Record the monthly gas and electric meter readings
- Input of confidential data supporting the P&C Manager with HR confidential administration
- Other administrative and office/facilities tasks as directed.
**Required Skills and Experience**
- This role may be exposed to confidential information, the ability to keep onfidentiality at its highest with no exceptions
- Experience of using HRIS system would be preferable
- Prioritisation and time management skills
- Ability to work quickly without compromising quality
- Good communication skills
- Flexible team player
- Good written and communication skills and telephone manner
- A positive attitude, good work ethic and willingness to learn new skills.
- Able to multitask, with good organisation and attention to detail
- Able to deal with conflicting priorities in busy periods and able to deal with pressure
- Ability to deal with external contractors and suppliers with confidence.
