**JOB PURPORSE**
As an Exam Business Officer, you will be responsible for and take ownership of the Exams and Assessment requirements of a designated faculty or department sector.
You will continue to develop your existing administration skills to support the maintenance of accurate data, timely entry for and delivery of examinations as well as the organisation of key internal processes such as returning exam scripts, achievement claiming and sending certificates. You must be proactive and willing to learn on the job, covering the variety of exams and the complexities involved, whilst maintaining high levels of customer service and strong communication skills with both internal and external stakeholders
**TASKS, DUTIES, AND RESPONSIBILITIES**
**EXAM ENTRY AND REGISTRATION**
- You will be the first point of contact for a faculty, a prison and an apprenticeship sector skill area.
- Undertaking routine preparations of exam entry and registration details, ensuring value for money and an effective use of funds.
- Inputting data relevant to exam entries to the various College Management Information Systems and being proficient in all systems.
- Despatching entries, scripts, papers, etc., to the various examining / assessment boards and issuing exam board assessment guidelines to the relevant academic staff.
- Liaising with academic staff, ensuring that students are registered correctly and in a timely manner.
- Working closely with other Exams staff, ensuring that all entries from students have been received, are correct, and have been endorsed by the relevant tutor.
- Processing exam entries and ensuring that all papers, etc., have been ordered from the appropriate examining bodies.
- Ensuring that all access arrangements are applied for in a timely manner, notified to the student, and applied to all subsequent assessments and examinations.
**EXAM ADMINISTRATION**
- Checking-in and preparing exam papers, and allocating appropriate stationary and other required materials, ensuring that all materials in an exam room are 100% accurate.
- Undertaking administrative duties associated with online assessment.
- Receiving results from faculties, prisons, apprenticeship training and development managers and awarding organisations, and accurately inputting them into the College Management Information Systems in a timely manner.
- Arranging the timetabling of examinations and requesting the allocation of invigilators in an efficient manner.
- Supporting invigilators, ensuring the timely conduct of assessments and examinations commencement.
- Communicating with external bodies over exam related matters.
- Assisting in the insurance that student achievement data is accurate and compliant, ensuring clean and timely funding returns.
- Distributing results and subsequent certificates to students in a timely and auditable manner.
**REGULATIONS AND PROCEDURES**
- Maintaining knowledge of examination body requirements, ensuring that the security and integrity of exam papers at all sites and that examining board security requirements are met.
- Undertaking examination information audit checks and making amendments to the information contained on the Weston College database, if necessary.
- Being proactive in communicating exam procedures and guidelines to academic staff, and reporting to managers upon variations from those procedures and guidelines.
- Assisting with the preparation of weekly outstanding achievement reports, which to include an overview of actions taken to resolve outstanding results, ensuring that there is no loss of funding or damage to timely achievement.
- Assisting with the preparation for audit and inspection.
**COMMUNICATION AND CUSTOMER SERVICE**
- Responding to any problems that arise during examination sessions, taking the appropriate action to deal with or rectify any difficulties that may arise.
- Providing onsite support where Joint Council for Qualifications (JCQ) examinations are being held.
- Performing invigilation duties in emergencies.
- Providing guidance and assistance to all Weston College staff in the provision of and access to examination information.
- Contributing to any in-house training, deemed necessary, ensuring the effectiveness of the examinations service to learners.
- Liaising with other Weston College departments and partners to resolve queries on data.
**Salary**: £21,383.00-£24,223.00 per year
