**Responsibilities**:
**Administrative Support**:
- Carry out relevant searches including Land Reg, Company House checks and Credit Safe reports.
- Sending of E- mandates via Signable.
- Convey company communications, group updates and document revisions o the group structure. As part of the role, you will need to ensure accuracy of data entry through excellent attention to detail. L
**Office duties**:
- Manage reception area.
- Administrate property maintenance and cleaning.
- Ensure a visitor’s experience is of a high quality and complete scheduled office tasks and audits as required.
- Assist with minor technical support.
- Be the first point of contact, admit and screen guests.
- **Director & Management Support**:
- Manage and maintain Directors schedules, appointments, and travel arrangements.
- Co-ordinate meetings and events as required.
- Ensure the Directors victual needs are maintained and support any ad-hoc or administrative tasks as required.
- Attend meetings, workshop or conferences as requested, which may include travel to other offices on occasion.
**Document Management**:
- Handle confidential documents, digitise and ensure they remain secure.
- Prepare, produce and edit correspondence, communications, presentations, and other documents, files and folders saving them to the IT platforms in the correct manner.
- Monitor and maintain group processes and ensure the updating of process maps, templates and policies.
**Meeting Coordination**:
- Record, transcribe, produce agendas, action points and distribute minutes of meetings.
- Book meeting rooms, prepare meeting packs and arrange technology setup.
- Ensure meeting room preparation and refreshments/hospitality are readily made available.
**Communications**:
- Screen incoming calls, monitor inboxes and other correspondence and respond independently when possible.
- Prepare reports or presentations as well as maintain files, records, and correspondence.
**Asset & Building Management**:
- Maintain the compliance and maintenance of the Company’s vehicle fleet requirements.
- Ensure compliance with regulatory testing of fire alarms, gas appliances, electrical installations, general maintenance, air con, building cleaning, tank maintenance, and the care of peripherals.
**Requirements**:
- Proven as an Executive Administrator, Senior Executive Assistant, or in other administrative or secretarial positions
- Touch typing and a minimum word count of 50 wpm is preferred
- Full comprehension of office management systems and procedures
- Advanced use of MS Office suite, databases, and information systems
- Excellent organisational and time-management skills
- Outstanding communication abilities
- Integrity and confidentiality
- This is a full-time position in a fast-paced office environment
- Flexibility to work outside of standard hours when required
