**Receptionist**

Part-time, 22.5 hours per week, Monday to Wednesday 9am - 5pm. Fixed term for 6 months to cover a secondment.

Annual salary range £18,000 - £20,000 (pro rata’d) (depending upon experience) plus pension and other benefits.

**The Overview**

We are looking for a receptionist to provide a warm and welcoming introduction to Vantage Point in Pynes Hill, Exeter, home to our stunning, award-winning office.

As a first point of contact for everyone that comes into Vantage Point, you will be vital to ensuring that first impressions of the South West AHSN are positive, friendly and professional.

**Role profile**:

- **Our receptionist roles are key to our organisation - you will be the first point of contact for everyone that comes into Vantage Point.**_

- Excellent organisational and administrative skills, with a natural ability to juggle a range of tasks.
- Ability to work as an integral part of a small, but busy team, offering support to others if needed.

- Strong attention to detail, with the ability to convey messages clearly and succinctly.
- Ability to prioritise workload and issues of importance and take appropriate action to ensure tight deadlines are met.

**Responsibilities**
- Greeting and welcoming guests into the building and providing them with a positive first impression of the organisation.
- Answering the telephone, taking and relaying messages, providing information to callers.
- Acting as point of contact for contractors working at Vantage Point.
- Fire marshal and first aid duties for Vantage Point.
- Managing daily post & deliveries.
- Providing administrative support to other areas of the business, as required
- Ordering office supplies.
- Coordinating room bookings for both internal staff and external clients.
- Raising invoices for room bookings.
- Assisting the Office Manager as and when required.

**Person specification**:
Experience we are looking for
- Experience in a customer-facing role
- Good IT skills, specifically Outlook, Windows, Excel & Microsoft Teams
- Ability to work as part of a team
- Excellent written and verbal communication skills
- Professional telephone manner
- Ability to prioritise workload

Experience and capabilities you will develop in the role
- Experience of a varied and fast-paced office working with a broad range of activities
- An understanding of how diverse stakeholder groups engage and communicate, developing a range of skills to support future space and events
- Accounts knowledge, including billing & coding
- First aid and fire marshal training
- Great customer service skills - and how to manage facilities and events in a hybrid office/virtual world.
