We are recruiting a Receptionist / Postroom Operative on a full time, permanent basis to join our team at our Coventry office.

**Main purpose of the role**

To support colleagues in their endeavours to offer an excellent client service by assisting with photocopy, scanning of documents and copying of discs as well as dealing with incoming and outgoing post.

To assist when necessary the receptionists to process all incoming telephone calls with no undue delay and in a courteous and helpful manner. Similarly, to receive and help all visitors to the Company’s offices, especially clients, in a helpful, friendly and professional manner. In these respects there is a high degree of responsibility to project the image and ethos of the Company at all times.

To undertake audio typing when required.

**Key duties and responsibilities - Postroom**
- Dealing with incoming and outgoing Royal Mail, recorded/special deliveries and DX in line with the Postroom Procedures document.
- Delivery of incoming faxes in line with the Postroom Procedures document.
- Transportation of files between departments.
- Hand deliveries to bank and court.
- Collation and delivery of stationary order requests.
- Assist and help colleagues with ad hoc tasks.
- Photocopying/scanning.
- Copying medical record discs.
- To ensure the confidentiality and security of the Company’s and clients’ documentation and information.
- Work as a team with your immediate and other colleagues.
- To always be helpful, friendly and professional in order to project a warm and friendly image of the company and its ethos.

**Key duties and responsibilities - Reception**
- Promptly and courteously answer all incoming calls, direct callers to the appropriate individual, provide relevant information, transfer calls or take messages as necessary.
- Greet employees, clients and visitors with quality customer service in a friendly, helpful and professional manner.
- Schedule conference rooms and coordinate meeting beverage/food service. Perform administrative tasks, such as scheduling appointments or meeting rooms, scanning and organising documents, typing legal memos, and sending and receiving faxes.
- Maintain cleanliness of all conference rooms, kitchen and reception area.
- To undertake other audio typing, clerical and administrative duties as may reasonably be required.
- To ensure the confidentiality and security of the Company’s and clients’ documentation and information.
- Maintain new enquiry records and open them on the case management system.
- Monitor and deal with the Enquiry Inbox.
- Answer any Live Chat queries in a timely manner.
- Work as a team with your immediate and other colleagues.
- To always be helpful, friendly and professional in order to project a warm and friendly image of the Company and its ethos.
- Other duties required within the scope and spirit of the post.

- Good keyboard/computer skills.
