As a Programme Support Officer, the post holder will work with other Widening Participation team members, and support all of the Apprenticeship programmes and Widening Participation programmes; these include Project Search, Princes Trust, St John’s NHS Cadets, our Work Experience offer, Sector Based Work Academy programmes, our internal career development offer to staff, and the Admin Network.

The role will support on communications, report production, poster creation, session development and utilise Microsoft Office suite, Canva, and other online product development sites.

The post holder will provide management administration support including organising meetings, producing minutes and agendas to a high standard, compiling reports and be able to manage multiple diaries effectively.

The post holder will be able to communicate effectively at all levels of the organisation and resolve any issues themselves, escalating where appropriate in a timely way. A flexible, can-do approach as well as excellent team working, engagement and inclusion skills are key requirements.

The post holder will be supported with career development, which is important to the Widening Participation Team too, we practice what we share with our colleagues, and system partners.

The post holder will be based at City and will work across all NUH campuses and external partner locations as required.

Main duties of the job

Work as a member of the Widening Participation team to develop its services and provide administrative support to the team.

Work in partnership with the Apprentice Lead to provide oversight, advice, guidance, structure and support to our programmes.

Act as the first point of contact for enquiries.

Maintain multiple programme records, compile highlight reports and maintain plans and databases.

Produce and communicate routine programme information using a variety of formats.

Arrange and attend meetings including taking and producing meeting notes and action plans for approval by the Apprentice Lead; and taking follow up action as appropriate.

Develop and maintain Programme/Project plans and track progress against the plans.

Detailed job description and main responsibilities

Work as a member of the Widening Participation team to develop its services and provide administrative support to the team.

Work in partnership with the Apprentice Lead to provide oversight, advice, guidance, structure and support to our programmes.

Liaise with other team members in order to monitor the completion of tasks and the delivery of products as specified in work packages

Support the Widening Participation Team in the preparation, circulation and updating of management, governance and quality documents & reports.

Produce communications products using methods such as PowerPoint presentations, Infographics and website content.

Provide general administrative support, including electronic and paper filing systems, utilising change control, and maintain reference data as required by the Widening Participation Team.

Maintain website content as directed by the Apprentice Lead

Organise and plan own workload to ensure the integrity and timeliness of management data, and to help ensure deadlines are met
