**Job Role: Dental Executive Officer.**

To assist the Dental Training Manager and Dental Training Co-ordinator to deliver the education management duties of the Dental Training Department efficiently and effectively.

**Hourly Rate**: 37.5 hours per week (Monday to Friday)

**Salary**:£12.25

**What the role entails**:
The specific duties of the post will include:
**RECRUITMENT**

NIMDTA provide Dental training in Foundation, Core and Specialty programmes.

To co-ordinate recruitment to Dental training posts and other posts as required

to facilitate dental training programmes.

Duties will include:

- Preparation of recruitment documentation
- Arrangement of induction for appointees
- Arrangement of practice visits
- Maintenance of NIMDTA databases with appointment details
- Liaison with Trusts
- Uploading of information to the NIMDTA website

**STUDY DAY PROGRAMME**

To manage the organisation of Dental Study Day Programmes.

Duties will include:

- Preparation of the annual study day programme in conjunction with the
- wider education team
- Liaison with speakers and payments
- Booking of facilities/ creation of online links for all training courses
- Production and circulation of promotional flyers
- Travel/ accommodation bookings for speakers
- Provision of programmes, attendance registers and course materials for
- individual sessions
- Administration of the evaluation of courses and circulation of evaluation
- reports to relevant personnel
- Uploading of information for delegates to the NIMDTA LMS system

**TRAINEE PROGRESSION**

To co-ordinate and administer RCP panels for Dental trainees, in accordance

with NIMDTA policy and COPDEND Gold Guidance, to include:

- Coordination of dates, panel members and schedule of assessment
- Circulation of materials prior to assessment and collation of trainee’s documentation
- Creation of RCP panels on the national ePortfolio platform
- Circulation of completed RCP documentation to PGDD, TPD, trainee and the relevant Specialty Advisory Committee
- Assist with the administration of Completion of Dental Training.

**DENTAL COMMITTEES**

Responsibility for the servicing of the Dental Team meetings and cross cover as

and when required for Dental Committees including CDFT(NI), HDC and the

QUB Liaison Group.

Duties will include:

- Circulation of information regarding meetings
- Preparing Agendas and taking minutes when required
- Undertaking follow up actions as required
- Providing advice and information to Committees as required

To provide administrative support to the Postgraduate Dental Dean, Associate

Postgraduate Dental Deans, Dental Advisers, TPDs and the wider Dental Team.

To maintain and update trainee information within the Dental Department on

NIMDTA information management systems.

To develop and maintain good working relationships with stakeholders e.g. HSC

Trust HR and Postgraduate Medical Education Departments, Lead Educators,

Educational Supervisors, Clinical Supervisors, National Recruitment Offices.

There will be an identified lead administrator for each Dental training

programme however it will be necessary to provide cover as and when

required.

**FINANCE SYSTEMS**

To use NIMDTA payment systems to process payments in relation to the work of

the Dental Department.

To maintain and update payment details for dental speakers.

Comply with organisation procedures for the ordering of goods and services.

To monitor on a daily basis the Dental Team electronic mailboxes and provide

responses to queries as raised.

To assist the Dental Training Manager in maintaining the dental department

section of the Agency’s website.

To assist the Agency in the promotion of equality of opportunity and good

relations, in compliance with Section 75 and Schedule 9 of the Northern Ireland

Act 1998.

To undertake any other duties as deemed necessary to the role or to meet the

changing needs of the department.
