**Application Process**

**Main Purpose**

To provide a confidential administrative and secretarial service to the CEO to support and maintain the efficient running of the CEO’s daily business.

To provide a confidential administrative and clerking service to the Board of Directors to ensure high standards of governance and efficient administration of the Trust’s Board and Committee meetings.

**Duties and Responsibilities**
- Be the first point of contact for staff, directors, other stakeholders and external agencies wishing to speak with the CEO
- Draft, proof-read and edit the content of documents, newsletters and presentations
- Coordinate the CEO’s diary, making decisions around priorities and ensuring the CEO is suitably briefed
- Organise travel and accommodation, and make purchases approved by the CEO using a company credit card adhering to the Trust’s policies and financial regulations.
- Prepare the CEO for meetings by collating reports and relevant documents
- Support with the arrangement of Trust events
- Update the Trust’s Facebook page and website with relevant news and information
- Be the first point of contact for Board business.
- Support the efficient and effective administration of the Trust Board and its Committees.
- Ensure Board decisions are made and implemented in accordance with the Articles of Association, Terms of Reference, policies and operational procedures.
- Act as clerk to the Board of Directors and its committees including the Finance and Resources (including Audit) Committee, Standards and Achievement Committee and Pay Committee, along with members meetings and panels.
- Maintain and monitor an annual calendar of meetings that discharges all strategic and operational requirements at Trust level.
- Collect, organise and distribute agendas, minutes, reports or other relevant documentation ahead of meetings
- Take minutes at all meetings, ensuring they are approved and appropriate records are maintained
- Keep accurate records of matters, actions and decisions arising from meetings, and follow up on these as required
- Oversee the appointment and retirement of directors in accordance with the Articles of Association, ensuring all relevant checks are carried out in accordance with safer recruitment legislation
- Ensure the governance area of the single central record is regularly reviewed and updated for members and directors
- Support the effective induction of new members and directors ensuring induction documents are issued
- Ensure committee membership information is regularly reviewed and updated, liaising with school staff as necessary
- Ensure statutory information held on Companies House and GIAS is up to date
- Support with the administration of the formal complaints procedure in accordance with the Trust Complaints Policy
- Monitor the Trust’s policy matrix and ensure policies are reviewed on time
- Maintain the register of interests for members, directors, senior staff and local governors
- Maintain meeting attendance information for board and committee meetings
- Ensure statutory information is published on the Trust website
- To work effectively and build strong relationships with members, directors, local governors, senior leaders, central staff and school staff

**General**

Maintain confidentiality of information acquired in the course of undertaking duties.

Participate in the performance and development review process, taking personal responsibility for identification of learning, development and training opportunities in discussion with line manager.

Comply with individual responsibilities, in accordance with the role, for health and safety in the workplace.
- Understand the principles of records management and have working knowledge of the Data Protection Act and Freedom of Information Act
- Ensure that all duties and services provided are in accordance with the Trust’s Equal Opportunities Policy.
- Be fully committed to the safeguarding of children and young people.
