**Job description**

Hazeldene Medical Centre is looking for an Administrative Assistant to join their team. We are looking for someone who enjoys helping others, is passionate about growing their career in the healthcare industry, knows the importance of being sensitive, maintaining confidentiality, has excellent communication and organisational skills to provide the best quality care services to the patients.

The practice was rated as GOOD by the Care Quality Commission (CQC).

The practice operates from 4 sites Hazeldene Medical Centre, The Eagle Eye, Crest Medical Centre & Chamberlayne Road Surgery. All staff are employed across the practice and can be asked to work at either site

**Main Responsibilities**

Deal with all general enquiries, explain procedures and make new and follow-up appointments.

Recalling, booking, amending and cancelling appointments using EMIS web.

Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, including patients from abroad and ensure procedures are completed.

Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt delivery.

Assist with the maintenance of accurate, up-to-date and relevant patient notes and medical records.

Retrieve and re-file records as required, ensuring strict alphabetical order is adhered. Reviewing, scanning and attaching medical documents.

Raising safeguarding and any other concerns with safeguarding lead or management team promptly.

Input patient information accurately using in-house systems.

Registrations of new patients - computer data entry and medical records.

Changing patients information (change of address and contact details) and inputting data into system correctly.

Process deductions, rejections and amendments as per practice policy,

Undertake any other additional duties appropriate to the post as requested by the partners or the management team or reception manager.

Communicate effectively with team members, patients and carers and outside agencies to enhance the team’s performance and meet patients’ needs.

Participation in all mandatory training sessions and attending any training programme implemented by the practice and taking responsibility for own development and learning.

To assist in promoting and maintaining own and other’s health, safety and security as defined in the practice Health & Safety Policy.
