RSH Audio provide audio equipment rental and sound engineering services to a wide range of events from our warehouse in Crayford, DA1 4AL.

Reporting to the Operations Manager and Director, the role involves some elements of personal assistance but mainly office management administration and support.

As a key member of a small team, this role will require the successful applicant to be confident in making it their own, and to improve the day to day running and working environment of the business.

Office Hours 10.00 - 15.00
- Owing to the seasonal and varied nature of the business’ hours, a degree of flexibility would be required occasionally and overtime will be paid on a pro-rata basis.
Flexible working will be considered but a minimum of 25 hours a week will be required._

**Specific Roles and Responsibilities**:

- Provide general administrative support and assistance to all aspects of the company’s operations, including support to Project Management and Operations teams.
- Provide administrative support and assistance to the Directors, including assistance with making appointments, travel / hotel arrangements etc.
- Assist with the pre-production elements of the company’s event projects, including booking suppliers, issuing purchase orders and booking accommodation and travel.
- Liaise with payroll provider and provide payroll data.
- Liaise with HR legal advisors on contract and policy updates.
- Coordinate internal training schedule and book external providers.
- Keep HR records up to date.
- Answer and handle incoming telephone calls in a professional and polite manner.
- Manage visitors to the Company’s premises. Greet and welcome visitors, act as first point of contact, whilst visitors wait for appointments etc.
- Maintain stock levels of office supplies (stationery, tea, coffee, cleaning supplies etc).
- Maintain a clean and presentable working environment within office and public spaces.
- Provide support to the Directors, in other aspects of the business’s activity, as required, requested and directed.
- Keep all work related information confidential and acting in a professional manner at all times, in all work and industry-social situations.
- Identify any areas of our operation where you believe training and additional skills may be required or benefit yourself or the business.
- Ensure compliance with Health & Safety regulations and policies within the working environment.
- Ensure that the Company’s policies, rules, procedures and obligations are observed in carrying out the above duties.
- Accounts admin duties; working with our accounts department to help keep data input and query resolution on sales ledger and purchase ledger transactions up to date, (using Xero).
- Researching and booking of office entertainment and events & making the workplace a nicer environment for the team.

**Representing the Company**:

- This role is truly a "public face" of the company. It is vital that you deal courteously with, customers, visitors, callers and the public at all times and represent the company and its reputation in an impeccable manner.
- Maintain a good level of personal appearance, dress and cleanliness.
- A generally cheerful demeanour, engaging personality and sense of humour would be a huge advantage in making a success of this role.

**Skills, Qualities and Qualifications Required**:

- Strong team working and interpersonal skills, with the ability to be flexible and adaptable within the environment of a small team.
- Experience of working in a small business environment in a similar role.
- Strong communication skills, oral and written.
- The ability to deal with staff at all levels and to communicate with both financially and non-financially aware colleagues and team members.
- Methodical and motivated individual, with passion for accuracy and excellence.
- High integrity and openness, combined with commitment to good governance and best practice.
- Proactive, self-motivated individual capable of working on their own initiative in a constantly changing and pressurised environment and fast developing company.
- Educated to a good level with academic qualifications in Maths & English.
- Good IT skills, especially with Google Suite, Excel and MS Office.
- Fluent English speaker, with good telephone manner and strong spoken language skills.
- Demonstrably numerate, articulate and experienced in business administration.
- Experience with bookkeeping and accounts software is desirable.
- Experience with HR principles, administrative requirements and best practices would be beneficial.
- Experience in an asset based business / asset rental sector an advantage.

**Job Type**: Part-time
