**Main Purpose of the Role:

To provide an effective and efficient administration and reception support service to the departments in the Birmingham office.

**Key Accountabilities:

- To work alongside the Receptionist and Office Manager, supporting with any reasonable task required to facilitate the smooth running of the office.
- To work on the reception desk, providing a courteous and professional service to all external visitors and internal staff.
- To assist with the booking of meeting rooms for the office.
- To ensure meeting rooms are correctly set up, including the provision of IT and to provide refreshments and clear away refreshments when required.
- ** **To greet clients in a professional and pleasant manner and to ensure that they are announced to the relevant fee earner as soon as possible.
- To assist the department with day to day errands such as hand deliveries to Court.
- To ensure all incoming calls to the office are answered promptly.
- To remain courteous and professional at all times.
- To ensure confidentiality and security of all information is maintained.
- To attend appropriate training courses to improve all elements of the role when required.
- To undertake any other duties commensurate with the post as may be required from time to time.
- When requested, to assist fee earners/secretaries with day to day administrative matters as required including:

- Filing
- Opening new files
- Closing files and archiving
- File organisation and filing in accordance with departmental procedures
- Assisting with billing procedures and other account enquiries
- To provide support to other secretaries with workload as reasonably required.

**PERSON SPECIFICATION**

Knowledge and Experience:

- ** **Educated to GCSE level English (B) and Maths (B)
- Accurate and efficient PC Skills
- No previous experience is required

- Demonstrates the ability to show initiative
- Able to prioritise effectively
- Ability to work under pressure
- Flexible and professional approach
- Excellent communication skills
