**SPECIFIC RESPONSIBILITIES**

These tasks and accountabilities are intended to be a guide to the range and level of work expected of the post holder and is not an exhaustive list of all tasks.

**Admissions / Transition**
- Coordinate all student admissions into The Long Eaton School in line the Sixth Form’s entry criteria.- Administrative preparation for the open evenings and events, inclusive of attendance
- Act as the initial contact advising, promoting and supporting prospective applicants
- Arrange visits, tours and meetings
- Provide an effective administrative service to support the induction and enrolment of new students, including all personal, registration, academic information, course memberships and nomination of prefects and officials each year.
- Dealing with any enquiries in relation to student admissions
- Assist in the transition and induction processes in close liaison with the Head of Sixth Form.
- Assist with induction meetings and induction days including the preparation, monitoring, communication and collation of all information relating transition and induction.
- Manage an effective system for recording student retention, leavers and destination information for analysis reporting for Head of Sixth Form.

**Bursary and Census**
- Support the Academy Manager to compile, maintain and ensure the accuracy of statistical information as required by the DfE in the Post 16 census.
- Support the Academy Manager to keep abreast of changes to the funding formula to ensure that funding is maximised for the Academy.
- Develop and maintain a system of assessing, recording, and making payments and other associated payments to eligible students regarding the academy’s 16-19 Bursary, ensuring records are recorded / retrieved for audit purposes. Offer support and advice to students and parents/carers in relation to these schemes
- Provide a comprehensive reception service, including greeting visitors to the Academy and ensuring relevant safeguarding checks are made, including receiving parents and students, dealing with general enquiries face to face or by telephone; taking messages or referring matters to the appropriate person;
- Proactively take responsibility for ensuring visitor information is provided in advance of their arrival where possible, enforcing the correct safeguarding procedures are followed;
- Assist in the administrative duties relating to Post 16 attendance by monitoring the completion of registers ensuring all registers are complete timely and accurately, following up on missing marks and records of reason for absence;
- Undertake first day absence calls/texts and log information effectively;
- Be responsible for maintaining and developing the reception and reception area, ensuring the visual displays best promote and communicate the activities and ethos of the academy;
- Assist with student welfare duties, looking after sick students, liaising with parents / carers and relevant staff, dealing with complex student matters, investigate and resolve any queries from student and or parents;
- Work effectively as part of the administration team providing administrative support for a wide range of tasks as directed;
- Receive, record and track deliveries, ensuring they are received by the budget holder or intended personnel and good receipting them on the financial system to ensure payment can be made;
- Undertake general financial administration (such as processing orders) where required, ensuring that you comply with Financial Regulations and trust policies and procedures;
- Prepare post for posting, franking letters where necessary;
- Provide general administrative support e.g. photocopying, filing, faxing, complete standard forms, respond to routine correspondence, word processing etc
- Provide first aid assistance to staff, students and visitors as and when necessary;
- Undertaking any other duties which may reasonably be regarded as within the nature of the duties and responsibilities / grade of the post.
