The successful Reception & Facilities Coordinator will contribute to the efficient operations of our offices by providing a comprehensive service to both external and internal clients.

**As part of this role you will**:

- Manage the Clacton reception effectively and efficiently
- Co-ordinate facilities for the firm across both offices ensuring that the firm’s offices are maintained to a high standard
- Maintain the high standard of service offered to the Firm’s clients and assist in creating and developing the professional reputation of the firm

**Duties -**

**Reception**:

- Meet and greet guests in a confident and professional manner
- Answer and field telephone calls
- Distribution of incoming post, franking and manage collection of outgoing post
- Responsible for maintaining the reception area, waiting room and meeting rooms
- Supervise members of the Front of House team

**Facilities**:

- Manage the firm’s facilities issues reporting system
- Arrange for regular maintenance of equipment and internal systems (e.g. heating system, alarms, security cameras)
- Keep track of regular and ad-hoc facility expenses
- Assist the HR & Office Manager with managing facilities budgets
- Assist with team moves and office relocations
- Manage the stock of the office, stationery and kitchen supplies
- Liaising and coordinating with external contractors and suppliers
- Being in attendance at the office when suppliers are attending to complete work
- Attend the office out of hours on an adhoc basis when services cannot be completed during office hours (such as maintenance for the air cooling and heating system, carpet cleaning etc.)
- Monitor activities that happen outside the building, such as waste disposal recycling, external maintenance of car park areas
- Fix minor malfunctions in office equipment
- Coordinate office and parking space allocation if required
- Compare costs and benefits when evaluating new suppliers
- Maintain an updated contacts list of external suppliers
- Ensure compliance with health and safety regulations and fire safety including responsibility for weekly alarm and emergency lighting testing and fire evacuations

**Requirements**:

- Experience as a Receptionist in a professional services environment
- Previous facilities coordination experience desirable
- Understanding of safety regulations in offices
- Excellent written and verbal communication skills
- High standards of customer care
- Excellent organisation and time management
- High level of attention to detail and the ability to manage various tasks with varying priorities
- High sense of urgency and ability to work to deadlines
- Reliability and calm under pressure
- Willingness to get involved no matter what the job
- Be comfortable in dealing with staff at all levels

**Salary and Package**:

- Full time hours (35 hours per week)
- Salary dependent on experience
- We offer a full time annual holiday entitlement of 22 days, with an additional 3 days for the Christmas Closure (plus bank holidays)
- We operate a staff pension scheme which you will be auto-enrolled after you have completed 3 months service with us

**Job Types**: Full-time, Permanent

**Salary**: From £23,000.00 per year
