Duties and Responsibilities Key results from the job holder Provide comprehensive administration support to the TOCH Team Inputting and extracting information to and from computer based records. Planning and Organisational Duties Create, input and update client / relatives information on Social Services / Health databases from information on ward referrals. Access other IT databases for previous involvement and obtaining information as necessary, liaising with Trust staff, Social Services Departments and other parties as necessary. Accessing Trust and Council Internet and Intranet for relevant information.
Liaise with IT and other departments as necessary. Act as first point of contact for all communications to the department and deal with all such communications appropriately, including sensitive issues. Deal with enquiries from Trust staff, Council staff, service users, patients and their relatives, outside organisations and the public. Both face to face and by telephone.
Provide cover for colleagues in periods of absence. Attending meetings as appropriate. Attend and participate in all training opportunities where relevant. Maintain the workplace in accordance with the Health and Safety at Work Act (1974) and comply at all times with the Trust policies and procedures.
Any other tasks as requested by Line Manager / TOCH Managers Communications and Key Working Relationships Service users and their relatives may at times be distressed and should be dealt with in a caring manner at all times. Dealing sympathetically with all patients and carers in line with departmental procedures. Responsibility for Finance N/A Responsibility for Human Resources Participates in PDR process as per Trust policy Maintains own professional development as detailed in annual PDR Attends mandatory training as per Trust policy Responsibility for Health & Safety Compliance with the Health & Safety at Work Act 1974 the post holder is required to fulfil a proactive role towards the management of risk in all of their actions. This entails the risk assessment of all situations, the taking of appropriate actions and reporting of all incidents, near misses and hazards, and a statutory duty of care for their own personal safety and that of others who may be affected by their acts or omissions.
Responsibility for Teaching N/A Work Circumstances & on-call To contribute to seven day service provision by participating in weekend working.
