**Job Overview**
The role will involve working as an integral part of the Operational Teams supporting our winter service, with a view to developing and maintaining strong relationships with our customers and working with the wider business to ensure that these customers always receive the best service.
You will be a key player in ensuring the daily operation runs efficiently and effectively providing both internal and external support
The purpose is to deliver exceptional winter service and contract management to our clients each and every day
**Main Duties**
To assist managing the Administration Processes across the business
Constant communication and day-to-day correspondence with the wider operations team
Client liaison, dealing with any issues and complaints - processing as required
Handling queries, internal and external
Handling quote requests and additional work enquiries
Updating internal and external databases and administration systems as required
Ensuring all completion documentation is accurate and submitted in a timely manner
Raising Purchase Orders
Ownership of data systems and contract processes to ensure records are maintained and processes followed as appropriate
- Absolute responsibility for capturing costs including all materials and subcontractors
Raising client actions in the SAFE system and allocating to relevant managers
Assist in the preparation for client meetings
Deal with communications in a professional and prompt manner.
Ensure full audit trails are maintained and evidenced where required.
Support financial processes e.g. aged debt and WIP
Assist in the creation and distribution of management information and reports
In addition to the duties and responsibilities outlined you may be required to perform other duties assigned and requested by your line manager
**What we are looking for**
- A flexible approach to business support to ensure deadlines are achieved
- Administration experience essential
- Experience working within a service delivery or client support role.
- Strong IT skills and Relevant experience of Microsoft packages
- Must have a flexible approach to working
- Attention to detail
- Ability to manage own time and prioritise workload
- Relationship building skills - in particular to be a self-starter willing to take the initiative when necessary and excellent ability to work well within a team structure
- Customer Care - Capable of delivering results and meeting customer expectations
- Ability to work on own initiative to a high level of accuracy and to meet deadlines
- Work effectively under pressure within a busy and diverse environment.
- Deliver quality, diversity and a can-do attitude along with great team work to ensure success at all levels
- Be an example of best practice at all times, particularly ensuring that accuracy in all input data etc is maintained
