Overview of Main Responsibilities:

- Responsible for the efficient running of the “front of house” for the oil diagnostics laboratory.
- Organisation of the “front of house” work and liaising with the laboratory staff.
- Ensure fast and accurate oil sample registration and client receipt processing meeting associated KPIs.
- Inform the analysts of priority and urgent samples as soon as they are notified or received in the laboratory.
- Liaising and informing clients of issues with sample bottles, labels and shipments.
- Accurate data entry such as sample information, client oil sample history, shipment information etc.
- Arranging sample collections and dispatch logistics with online courier system and clients.
- Sample bottle processing, bottle cleaning, packing of sample crates and stock control.
- Ensure “front of house” areas are clean, tidy and well organized ensuring good laboratory practices.
- Control stock levels, arrange purchase requisitions and liaise with suppliers as required to maintain Supplier Register.
- Answering laboratory phone, speak with clients and direct enquiries to the relevant personnel.
- Ensure cost effective purchasing of stock and stock control levels including informing laboratory supervisor when new stock is required.
- The Registrar must always work within the guidelines of the laboratory QMS systems and contribute towards its successful delivery and maintenance.
- Identify and contribute to the continuous improvement process.
- Operate within the company procedures and policies.

Essential skills and experience
- Excellent working understanding of Microsoft Office: Excel, Word, Access is required.
- Highly self-motivated individual with an aptitude to learn.
- Excellent organisational skills are essential to the role.
- Exceptional attention to detail is required and is critical to the role.
- Understanding of manual handling processes.
- Ability to follow detailed operating procedures and manage delivery of tasks in a prescribed fashion and without deviation.
- Ability to adopt a continuous improvement approach to the efficient, effective and safe processes within a laboratory.
- An excellent understanding of Health & Safety regulations, COSHH requirements, ISO 9001 and ISO 17025 operational practices.
- Understanding of oil filled high voltage electrical assets is essential.
- Practical understanding of analytical equipment is essential.

Knowledge
- Practical experience in a similar role is preferable.
- An understanding of Health & Safety regulations, COSHH requirements, ISO 9001 and ISO 17025 operational practices.
